Bluffview Memory Care, a Community Based Residential Facility serving persons with Alzheimer's and related dementias is seeking to hire a Customer Service Representative who is an enthusiastic and organized applicant to join our growing team.
The Customer Service Representative role is primarily responsible for:
- Creating a welcoming and collaborative reception area in a positive manner
- Maintaining collaborative communications throughout the facility
- Performing clerical, reception, resident communications, and human resource administrative duties as assigned
- Greeting and receiving visitors, routing telephone calls, and completing a variety of other administrative tasks as assigned
Qualifications/Abilities for the Customer Service Rep/Scheduler (aka, Coordinator):
- Be at least 21 years of age
- Exhibit the capacity to professionally respond to the needs of the residents and manage the complexity of the front reception area of a CBRF.
- Experience working in a healthcare related field having direct contact with one or more of the client groups identified under s. DHS 83.02 (16)
- Minimum of a High School Diploma required, or an Administrative Assistant Degree, or an Associate Degree in a Healthcare or Business Management related field a plus, or equivalent work experience shall be considered.
- Prior experience working in an office setting in a CBRF preferred, but not necessary
- Possess knowledge of Wisconsin DHS Chapter 83; prior experience with HIPAA rules and regulations preferred
- Strong ability to demonstrate a professional and courteous manner
- Prior experience in settings requiring a strong ability to multi-task in a front desk area
- Prior experience in the mastery of a multi-line phone system
- Preferred experience or an exceptional ability to organize and schedule tasks as well as staff
- Proficient in Microsoft Office; Word, Excel, Outlook
- Prior experience in General Accounting
- Must be willing to participate in an on-call rotation (8-week rotation)
General reception/clerical duties for the Customer Service Representative include but are not limited to:
- Answer phones and provide excellent customer service to callers.
- Direct callers to proper personnel or voicemail box.
- Take and relay messages.
- Provide callers with general information; screening calls for the appropriate party to transfer to.
- Maintain resident confidentiality HIPAA.
- Allow visitors to enter/exit facility using a key fob remote.
- Greet and direct visitors to a destination in a pleasant and helpful manner.
- File documents.
- Check mail daily/direct mail/process mail.
- Send and receive faxes; check the fax machine for orders and communications.
- Maintain communication with Resident Care Coordinators and other staff via walkie-talkie and/or phone extensions
- A wide variety of administrative assistant duties including assisting with scheduling of resident care givers.
Human Resource assistance duties for the Customer Service Representative include but not limited to:
- Enroll employees in training
- Assist in set-up and scheduling of training
- Assist managers with discipline; documentation and recording as directed by Administrator/Coordinators (if needed)
- Update staff attendance
- Update employee phone list (Employee list)
- Update nameplates
- Serve as mediator & liaison between staff, managers, and guests
- Other general duties as required.
