Overview
We are seeking a proactive and detail-oriented Post-Sale Coordinator/Assistant to Project Management to join our dynamic construction team. This vital role supports project managers by coordinating post-sale activities, ensuring seamless communication, and facilitating efficient project execution from inception through completion. The ideal candidate will possess strong organizational and communication skills, construction industry experience (preferred), and proficiency with project management timelines. This role has a hybrid element to it has somewhat flexible hours. You will be expected to spend a reasonable amount of time in the office, especially when you first start out. However, there are times when working remotely is acceptable if you demonstrate you can work reliably even when working remotely.
Duties
- Assist in managing project documentation, including contracts, change orders, and progress reports, ensuring accuracy and timely updates.
- Coordinate communication between clients, subcontractors, suppliers, and internal teams to facilitate smooth project workflows.
- Support project scheduling efforts by updating timelines
- Schedule measure/install appts/service calls
- Make sure jobs are scheduled as soon as measure takes place
- Ensure install schedule is filled out for at least 5 weeks in advance and ensure schedule is always up to date (register changes in real time)
- Coordinate with and review jobs and schedule with Project Manager and Jason to ensure we are putting jobs on the schedule in a way that matches the reality of having the materials in hand by the time of the install and allowing a reasonable time frame for the install to be completed. (Determine with project manager the complexity of jobs to achieve this)
- Meet with project manager weekly to review jobs
- Notify customers of material status/schedule changes (at Project Manager’s direction)
- Establish a positive relationship with customers and main post-sale customer contact (measurements through install)
- Perform other duties as necessary to assist Project Manager
- Ensure jobs are invoiced on the day work begins
- Ensure contracts and post completion paperwork are ready to go out with each job
- Assist in collecting payments from customers
- Including relaying payment expectations to customers prior to installer arriving.
- For Finance Customers – ensure Loan Completion Certificates are sent out (typically via Email) for Foundation or other lenders when the job begins so the installers can guide the customer through signing off on the job.
- Ensure job board is up to date at all times
Pay: $600.00 - $800.00 per week
