About the Role
We're a busy, growing real estate brokerage looking for a detail-oriented Transaction Coordination Assistant to support our transaction management from offer acceptance through closing. You'll be the behind-the-scenes engine that keeps deals moving — tracking deadlines, chasing signatures and deposits, and making sure nothing falls through the cracks across a high volume of simultaneous transactions.
This role is a strong fit for someone who is organized, proactive, and calm under pressure, and who enjoys being the person everyone can rely on to have the answer. It starts in-office so you can build a strong knowledge base, with the door open to a hybrid arrangement as you demonstrate command of the work.
Key Responsibilities
- Email & deal monitoring: Monitor the transaction inbox daily, read and comprehend deal status, and flag anything that needs attention or action.
- E-signatures: Use Dotloop to prepare, route, and obtain e-signatures on transaction documents, following up promptly on anything outstanding.
- Earnest money deposits: Request, track, and confirm that earnest money deposits are sent and received on time — whether by check, wire, or DepositLink — and that receipts are documented.
- System accuracy: Keep our transaction management system current and accurate, entering and updating critical dates, contingencies, and deal details.
- Communication: Assist in facilitating clear, timely communication among agents, clients, attorneys, lenders, and title throughout the life of each transaction.
- Closing readiness: Confirm that all documents required for closing are ordered, received, reviewed, and handled so each deal is fully prepared to close on time.
Pay: $25.73 - $30.00 per hour
