Overview
We are seeking a dynamic and organized Front Desk Associate to be the welcoming face of our organization. Duties
- Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression
- Manage multi-line phone systems efficiently, directing calls accurately and professionally using proper phone etiquette
- Handle data entry tasks with precision, including filing, record keeping, and updating databases using productivity software such as Microsoft Office and Google Workspace
- Maintain organized filing systems—both digital and physical—to ensure quick access to important documents
- Support calendar management by scheduling appointments, meetings, and coordinating events for staff or executives
- Assist with office management duties such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
- Provide administrative support including proofreading documents, managing correspondence, and supporting other clerical tasks as needed
Experience
- Prior office experience in a front desk or administrative role is preferred
- Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Experience with multi-line phone systems and handling high-volume calls effectively
- Bilingual abilities are highly valued to serve diverse client needs
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Technical proficiency in data entry, filing systems, and basic bookkeeping (QuickBooks experience is a plus)
- Excellent customer service skills with a professional demeanor and effective phone etiquette
- Previous roles such as medical receptionist or dental receptionist are advantageous but not required
- Personal assistant or office management experience will be considered an asset
