Overview
As a Receptionist, you will be the first point of contact for our company. Your duties include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and directing phone calls.
A background in customer service is ideal. We want a candidate who is warm and capable of building connections and trust with our clientele and who exhibits a naturally positive attitude. Answering phones and effective, problem-solving client communication will be a regular duty for this position. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position.
Tasks may include, but aren’t limited to:
Daily Functions
- Receiving visitors, deliveries, etc. at the front desk by greeting, welcoming, directing and announcing them appropriately
- Answer, screen and forward incoming phone calls and make friendly informative connections with prospective clients
- Tracking of incoming calls
- Ensure office and common areas are tidy and presentable, with all necessary stationery and material (e.g. pens, forms, snacks, business cards, etc.), watering plants, taking out trash and general maintenance of premises
- Prepare for group lunches by placing orders and arranging setup and cleanup of rooms
- Provide basic and accurate information in-person and via phone/email
- Receive, sort and distribute daily mail/deliveries, coordinate Fedex and UPS drop-offs/pickups
- Work hand in hand with our executive administrator to Update calendars and schedule meetings when directed
- Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
Qualifications
- At least 5 years’ experience in a professional work environment working in a confidential environment. Associates Degree preferred.
- Solid commitment to customer service for all ability to problem solve for clientele.
- Sensitivity to diverse populations and work styles, timely response to deadlines, and ability to handle multiple priorities and projects simultaneously.
- Ability to maintain composure and sense of humor in high-pressure situations.
- Demonstrated excellence in writing, organizational, and communication skills.
- Advanced Microsoft Office experience in Word, Outlook, and Excel required.
- Clean driver’s license and access to an automobile

Requirements
- Proven experience in office administration or reception roles with strong clerical skills
- Proficiency in Microsoft Office suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry processes
- Excellent computer literacy and technical proficiency in office equipment such as multi-line phone systems and fax machines
- Bilingual abilities are a plus to effectively communicate with diverse clients and visitors
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Exceptional customer service skills with professional phone etiquette and client communication experience
- Experience with QuickBooks or similar accounting software is desirable but not mandatory
- Demonstrated ability to manage time effectively while handling multiple responsibilities simultaneously

Pay: $18.00 - $24.00 per hour
