Duties
- Manage front desk responsibilities, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.
- Perform data entry and maintain accurate records using spreadsheets, Microsoft Office, Google Workspace, and bookkeeping software.
- Handle calendar management and scheduling for team meetings, appointments, and client engagements with strong organizational skills.
- Assist with office management tasks such as filing, proofreading documents, and maintaining office supplies inventory.
- Provide exceptional customer support by responding promptly to inquiries via phone or email, ensuring positive client communication.
- Support administrative functions including document preparation, word processing, and basic bookkeeping tasks.
- Coordinate with team members to ensure efficient workflow and timely completion of projects.
- Assist Operations team with transitioning children to and from classrooms from bus, drop off and pick up.
Qualifications
- The individual must enjoy being around children and willing to work as a team member to assist classrooms and management staff as the children are our first priority.
- Proven experience in an office environment or administrative role with strong clerical skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry software.
- Excellent computer literacy with the ability to adapt to various productivity software and technical tools.
- Strong organizational skills with the ability to multitask effectively in a busy setting.
- Exceptional communication skills—bilingual abilities are a plus but not required—and professionalism in phone communication and client interactions.
- Experience with QuickBooks or Medicaid/insurance systems is preferred but not required.
- Knowledge of multi-line phone systems, filing systems, and office management practices.
- Ability to handle sensitive information discreetly while maintaining high levels of accuracy in proofreading and data entry.
- Personal assistant experience or medical receptionist background is advantageous but not mandatory.
