We are seeking a detail-oriented and organized Sales Administrative Assistant to support our sales team and daily office operations. Responsibilities
- Maintain accurate records through data entry, filing, and updating customer information using tools like Acumatica, Excel, Outlook.
- Front desk operations by greeting visitors, and maintaining a welcoming environment.
- Organize and prioritize daily tasks efficiently using strong time management skills to meet deadlines and support customer service excellence.
- Process customer orders accurately and efficiently.
- Assist sales representatives with managing customer accounts and administrative tasks.
- Create and maintain sales orders in the company system.
- Make outbound calls to house accounts to follow up on orders, provide customer support, and identify sales opportunities.
- Coordinate closely with the warehouse team regarding product availability and inventory levels.
- Create, and process customer invoices.
- Ensure order, pricing, and customer information is entered accurately.
- Respond to customer inquiries regarding orders, products, and account information.
- Maintain organized records of sales transactions and customer communications.
- Support the sales team with reports, documentation, and other administrative duties as assigned.
Skills
- Excellent organizational skills with keen attention to detail in clerical tasks such as filing, data entry, and proofreading.
- Strong communication skills with professional phone etiquette; bilingual ability is a plus.
- Excellent verbal and written communication skills.
- Ability to handle customer support inquiries with a friendly demeanor while maintaining confidentiality.
- Proven ability to multitask effectively in a fast-paced environment with excellent time management skills.
- Basic computer skills, including Microsoft Office (Word, Excel, Outlook).
- Positive attitude and willingness to learn.
