Maintenance Planner & MRO Specialist | CMMS | Inventory & Procurement

We are seeking an experienced Maintenance Planner & MRO Specialist to support maintenance operations within a fast-paced manufacturing environment. This position plays a critical role in equipment reliability by coordinating maintenance activities, managing MRO inventory and spare parts, working with vendors and OEMs, and maintaining accurate CMMS/ERP data.
This is an excellent opportunity for someone who understands both sides of maintenance operations—the importance of having work properly planned and having the right parts, tools, and resources available when the work is scheduled.
The ideal candidate has experience with maintenance planning, MRO inventory, CMMS/ERP systems, purchasing, spare parts management, and manufacturing operations.
What You'll DoMaintenance Planning & Scheduling
- Plan, prioritize, and schedule preventive and corrective maintenance activities
- Coordinate maintenance schedules with production to minimize equipment downtime
- Ensure required parts, materials, tools, labor, and resources are available before scheduled maintenance begins
- Develop and maintain daily and weekly maintenance schedules
- Coordinate planned downtime, shutdowns, major repairs, and annual equipment overhauls
- Work closely with maintenance technicians, production leadership, vendors, and equipment OEMs
- Adjust maintenance plans as production schedules and operational priorities change
- Help ensure maintenance work orders are fully planned and ready for execution
MRO Inventory & Spare Parts Management
- Manage MRO inventory, maintenance spare parts, and critical equipment components
- Organize and maintain the maintenance parts storeroom for efficient part identification and retrieval
- Maintain accurate part locations, labeling, stocking practices, and inventory records
- Perform cycle counts and investigate inventory discrepancies
- Monitor inventory usage and establish appropriate minimum/maximum stocking levels
- Maintain critical spare parts needed to support equipment uptime
- Identify opportunities to reduce excess inventory, obsolete materials, and stockouts
- Maintain FIFO inventory practices and proper material handling procedures
- Issue and allocate parts to maintenance work orders
Purchasing & Vendor Management
- Source maintenance parts, production components, equipment, and services
- Convert internal requisitions into purchase orders and track orders through delivery
- Obtain and compare quotes from vendors and equipment manufacturers
- Work directly with OEMs to identify replacement parts and critical spares
- Negotiate pricing, lead times, and purchasing terms when appropriate
- Identify alternative or substitute components when parts are obsolete or backordered
- Coordinate purchasing activity around planned maintenance, shutdowns, and equipment overhauls
- Develop strong vendor and OEM relationships to support timely service and parts availability
CMMS / ERP Administration
Use CMMS and ERP systems such as SAP, ILS, or similar platforms to support maintenance planning and inventory management.
Responsibilities include:
- Create and maintain maintenance work orders
- Assign required labor, parts, tools, and job steps
- Maintain asset and equipment records
- Track MRO inventory levels, usage, and transactions
- Allocate parts to work orders
- Create and maintain equipment Bills of Materials (BOMs)
- Establish min/max inventory levels and reorder points
- Maintain accurate parts master data
- Update inventory locations and asset information
- Improve CMMS data accuracy and system utilization
- Support standardized maintenance planning processes
What We're Looking For Preferred Experience
- Maintenance planning or maintenance scheduling experience within a manufacturing or industrial environment
- MRO inventory or spare parts management experience
- Experience using a CMMS or ERP system such as SAP, ILS, or similar software
- Experience creating and managing maintenance work orders
- Knowledge of preventive and corrective maintenance processes
- Purchasing, procurement, or vendor management experience
- Experience working directly with equipment OEMs
- Parts storeroom, inventory control, or materials management experience
- Experience with Bills of Materials (BOMs), min/max inventory levels, and reorder points
- Strong understanding of manufacturing and production environments

Work Environment
This position works in both an office and manufacturing plant environment. Regular interaction with the production floor is required to support maintenance planning, inventory management, equipment needs, and maintenance execution.
Candidates should be comfortable working around manufacturing equipment, varying temperatures, and elevated noise levels.
Flexibility to support occasional weekends or extended hours may be required during shutdowns, major repairs, annual overhauls, or other critical maintenance activities.
