Essential Job Functions:
- Serve as the Administrative/Accounting Assistant to the Associate Director and Director of Administration by maintaining records, assisting with financial processes, and supporting daily administrative operations.
- Provide day-to-day oversight of office administrative and accounting functions.
- Perform front desk reception duties, including answering phones, greeting and directing visitors, receiving mail and deliveries, and maintaining a welcoming and professional environment.
- Assist with preparing deposits, processing accounts payable, organizing and filing AP vouchers, maintaining timesheets, grant reconciliation reports, and grant invoicing.
- Collect, log, and issue receipts for in-kind and monetary donations in accordance with internal controls and donor tracking requirements.
- Maintain accurate documentation and records in compliance with all grantor policies and CASFV procedures.
- Perform data entry and support financial tracking as needed.
- Generate donor acknowledgment letters and assist with donor data reports (daily, weekly, monthly, quarterly, or as requested).
- Perform other duties as assigned. Evening and weekend work may be required. This is a non-exempt position that requires approval for work in excess of 40 hours per week.
Training and Experience:
One or more years of accounting or bookkeeping experience is required. You must have excellent computer skills, with exceptional attention to detail. Data entry experience is preferred; computer proficiency in Microsoft applications. Excellent math skills, able to accurately type 40 words a minute and ten-key by touch. You must have your own transportation, a valid Texas driver’s license and current auto insurance. We are looking for someone who is dependable.
Pre-Employment Requirements:
Employment is contingent upon the successful completion of a background check and drug screening. Applicants must consent to both screenings as a condition of hire.
Knowledge, Abilities and Skills:
- Proficiency in QuickBooks accounting software required
- Proficiency in computer applications with concentration in excel worksheets
- Enter data from source documents in timely manner.
- Generate daily, weekly, bi-weekly, monthly, quarterly donor reports as requested.
- Enter data and maintain a high accuracy rating in alpha/numeric mix.
- Highly developed interpersonal skills.
- Highly developed written and verbal communication skills.
- Knowledge of working with volunteers, developing and organizing systems.
- Excellent follow-through and proven skills.
- Should be creative, articulate and diplomatic.
- Ability to work independently as well as part of a team.
- Willingness to work flexible and irregular hours during peak periods.
- Bilingual – (English-Spanish) required
- Job Hours are Monday-Thursday 8AM-6PM, and Fridays 8AM-12PM
