Death Certificate Clerk Job Summary
Part Time: Monday - Friday 8:30 - 3pm

We are seeking a highly organized, detail-oriented Death Certificate Clerk to join our fast-paced funeral home team.
This is a HIGH-PACED position. Strong multitasking skills and an understanding of medical terminology are a MUST.
Our Death Certificate Clerk is responsible for managing multiple active death certificates at different stages of completion while communicating with funeral arrangers, physicians, hospitals, medical facilities, families, and government agencies.
Accuracy and follow-through are extremely important. Death certificates are time-sensitive legal documents, and delays or errors can directly affect cremations, burials, permits, services, and families receiving certified copies.
The ideal candidate is a self-starter who can prioritize, problem-solve, follow up consistently, and stay organized without needing constant direction.
Responsibilities
- Prepare, process, track, and file death certificates accurately and on time
- Enter and maintain vital statistics and case information
- Review information for accuracy, missing details, and inconsistencies
- Understand and accurately enter medical terminology, causes of death, and physician information
- Communicate with physicians and medical facilities regarding death certificate completion and attestations
- Follow up on outstanding certifications and documentation without being prompted
- Manage multiple active cases simultaneously, each at different stages of the process
- Track filing deadlines, permits, corrections, and pending information
- Coordinate closely with funeral arrangers to keep cases moving
- Prepare working copies for review and family approval
- Maintain accurate electronic and physical records
- Handle confidential and sensitive information appropriately
- Communicate professionally and compassionately with families, physicians, facilities, and government agencies
- Assist with general clerical and administrative duties as needed
Qualifications
- Medical terminology knowledge is required
- Exceptional multitasking and organizational skills are required
- Strong attention to detail and accuracy
- Ability to work quickly without sacrificing quality
- Strong computer and data-entry skills
- Comfortable learning and working within electronic death registration systems
- Ability to manage deadlines and prioritize urgent cases
- Excellent written and verbal communication skills
- Professional and comfortable communicating with physicians and medical offices
- Able to work independently and take initiative
- Reliable follow-through — tasks must be tracked through completion
- Funeral home, medical office, death certificate, vital records, or similar administrative experience is strongly preferred

Our funeral home handles multiple families and active cases at the same time. Priorities can change quickly, phones are active, physicians and facilities require follow-up, and paperwork must continue moving to prevent delays for families.
You must be comfortable switching between tasks, tracking multiple deadlines, understanding medical terminology, catching errors, and taking initiative when something is missing.
