Westfield Child Center has been a leader in the field of early education and care for 60 years! We are a large, nonprofit child care center serving approximately 190 children ages one month to twelve years. We are looking for a friendly, organized, upbeat, and dependable Office Assistant to join our fast-paced office team. This is a part-time position, Monday through Friday from 12:00 PM to 5:30 PM, with additional hours available as needed.
This position is a great opportunity to gain experience in nonprofit administration, early childhood education, and office operations. Ideal for individuals interested in education, psychology, human services, business, healthcare administration, or related fields.
Successful candidates MUST meet the following qualifications:
- Friendly, professional, upbeat, and dependable with the ability to remain calm and organized in a busy, fast-paced environment
- Strong interpersonal and customer service skills when interacting with children, families, staff, and visitors
- Exceptional organizational skills with strong time management, prioritization, and attention to detail
- Excellent written and verbal communication skills
- Comfortable working in a busy office environment with frequent interruptions and changing priorities
- Ability to stay physically active throughout the day, including frequently getting up from the desk to answer doors, assist classrooms, deliver items throughout the building, and respond to the daily needs of a large childcare center
- Proficiency in Microsoft Word, Excel, and basic computer programs with the ability to learn new technology and software programs quickly
- Commitment to maintaining confidentiality and handling sensitive information appropriately
- Willingness to follow directions and work collaboratively with administrators and coworkers
- Ability to respond appropriately in emergency situations
- Experience working with children and families in a childcare, school, camp, customer service, or related setting required
- High School Diploma required; Associate’s Degree or higher preferred
- Minimum of 1 year of experience in an office setting preferred
- Must pass background checks including DCF, CORI, SORI, and fingerprinting
- First Aid and CPR certification required within three months of employment
Responsibilities include, but are not limited to:
- Greeting families, employees, and visitors in a friendly and professional manner
- Providing excellent customer service and maintaining a welcoming front office environment
- Answering phone inquiries and directing calls appropriately
- Monitoring the front office to ensure it remains organized and runs smoothly each day
- Providing clerical and administrative support to the leadership team and staff
- Assisting teachers and staff with daily requests and operational needs
- Collecting tuition payments from families
- Logging and monitoring reports related to child injuries and incidents
- Maintaining family and staff confidentiality at all times
- Assisting with general office tasks and daily center operations as needed
