Evening Receptionist / Administrative Assistant
Location: Annie's at Magnolia Manor Assisted Living
Position Type: Part-Time (Evenings & Rotating Weekends)
Reports To: Executive Director / Administrator
Position Summary
Annie's at Magnolia Manor is seeking a compassionate, professional, and dependable Evening Receptionist to become the welcoming face of our 53-bed Assisted Living Facility. This individual will play a vital role in creating a warm and inviting environment for residents, families, visitors, and staff while providing administrative support to ensure smooth evening operations.
We are looking for someone who has a genuine passion for serving seniors, is a quick learner, thrives in a fast-paced environment, and is willing to assist with schedule coverage when needed.
Schedule
- Evening shifts
- Rotating weekends
- Additional shifts as needed for staff coverage, vacations, or call-outs
Responsibilities
- Greet residents, visitors, vendors, and families with professionalism and compassion.
- Answer and direct incoming phone calls promptly.
- Monitor visitor sign-in/sign-out procedures.
- Provide exceptional customer service to residents and their families.
- Assist with administrative tasks including filing, scanning, copying, faxing, and data entry.
- Maintain accurate records and documentation.
- Receive, sort, and distribute incoming mail and deliveries.
- Assist department managers with clerical projects as assigned.
- Monitor lobby activity and maintain a clean, welcoming reception area.
- Assist with resident appointments, transportation logs, and communication as needed.
- Support the management team with daily administrative duties.
- Help coordinate office supplies and maintain organized workspaces.
- Provide additional office support during staffing shortages or vacations.
- Follow all HIPAA, confidentiality, and facility policies.
- Perform other duties as assigned.
Qualifications
- High school diploma or GED required.
- Previous receptionist, administrative, or customer service experience preferred.
- Experience working with elderly adults, assisted living, healthcare, or senior services is highly preferred.
- Excellent verbal and written communication skills.
- Professional appearance and positive attitude.
- Strong organizational and multitasking abilities.
- Ability to remain calm under pressure.
- Dependable with excellent attendance.
- Flexible schedule with availability for evenings, weekends, and occasional additional coverage.
Computer Skills
Applicants should be comfortable using:
- Microsoft Office (Word, Outlook, Excel)
- Email and internet applications
- Fax machine, copier, scanner, and other office equipment
- Electronic documentation systems (experience preferred but not required)

Physical Requirements
