Boys & Girls Clubs of Northwest San Diego is seeking a detail-oriented, bilingual administrative professional who loves children as their next Oceanside Clubhouse Membership Clerk! The Membership Clerk at the Oceanside Clubhouse is a part-time role working in the afternoons (approximately 28 hours/week) Monday through Friday supporting the Clubhouse Manager. This role is a critical one as the Membership Clerk assists with the flow of people in and out of the front lobby of the Clubhouse, engaging with parents, along with a variety of other administrative responsibilities for the Oceanside Clubhouse. Job Summary:
The Membership Clerk is responsible for maintaining the front desk, providing quality customer service ensuring the safety of Club members and maintaining all membership functions including Traxs system entry and data maintenance, payment collection, processing and membership files. The Membership Clerk provides regular clerical and administrative support to the Oceanside Clubhouse Manager and members. Maintains schedules and calendars, answers telephones and maintains electronic and hard copy files. Responsible for providing a point of contact for walk in traffic, incoming telephone calls, granting access to the building, and supporting the highest level of customer service for members and visitors.
Major Duties and Responsibilities:
- Ensure the safety, security, and appearance of the front desk.
- Maintain program, transportation, and rental calendars, communicating with staff and members.
- Provide excellent customer service by handling inquiries and concerns courteously.
- Manage financial transactions, including processing payments and preparing end-of-day reports.
- Maintain organized electronic and hard copy filing systems.
- Accurately track member information and attendance data.
- Support administrative tasks, including correspondence and report preparation.
- Attend staff meetings and assist with special projects as needed.
Additional Summer Duties:
- Create and manage camp activities and registrations.
- Process payments and communicate with parents regarding camp details.
Qualifications:
- Education: High School Diploma or GED.
- Experience: Minimum of three years in a service or non-profit organization, focusing on administrative functions and customer service.
- Bilingual- Spanish/English.
- Skills: Proficient in MS Office; excellent communication and organizational skills; attention to detail.
Knowledge/Skills/Abilities:
- Strong interpersonal and relationship-building skills.
- Ability to work with diverse populations and maintain confidentiality.
- Must possess a valid driver’s license and be able to obtain CPR/First Aid certification.
