Job Summary
We are seeking a detail-oriented Accounts Receivable Specialist to join our team. This role is responsible for invoicing customers, processing payments, managing collections, maintaining accurate records, and providing outstanding customer service. The ideal candidate will be organized, proactive, and able to work effectively with customers and internal departments to ensure timely and accurate accounts receivable activities.
Key Responsibilities
- Process and invoice open parts, equipment, and service sales orders received from Customer Service, Sales, and Technical Services.
- Distribute invoices to customers via email, mail, or fax.
- Receive and process daily customer payments and prepare bank deposits.
- Apply customer payments to the appropriate invoices and general ledger accounts.
- Prepare and distribute monthly Accounts Receivable statements.
- Monitor outstanding balances and follow up on past-due invoices through phone calls, emails, and written correspondence.
- Provide customers with supporting documentation and invoice backup as requested.
- Generate monthly accounts receivable and collections reports for management.
- Build and maintain positive relationships with customers and related vendors.
- Respond promptly to customer inquiries regarding account balances, payments, and billing issues.
- Process customer credit card payments accurately and securely.
- Collaborate with cross-functional teams and maintain strong working relationships throughout the organization.
- Maintain accurate and organized accounts receivable records and filing systems.
Additional Responsibilities
- Provide support to other members of the Accounting Department as needed.
- Respond to requests for financial and customer account information in a timely manner.
- Maintain office supply inventory and coordinate ordering as necessary.
- Assist with special projects and perform other accounting-related duties as assigned.
Qualifications
- Previous experience in Accounts Receivable, Accounting, Bookkeeping, or a related field preferred.
- Strong attention to detail and organizational skills.
- Excellent customer service and communication skills.
- Proficiency with Microsoft Office, particularly Excel.
- Ability to handle multiple tasks and meet deadlines in a fast-paced environment.
- Strong problem-solving skills and ability to work independently as well as part of a team.
Pay: $25.00 - $27.00 per hour
