The Best Shades is looking for a highly organized, proactive, and dependable Office Administrator / Customer Service professional to join our growing team in Paramus, NJ.
This is a fast-paced, on-site role for someone who enjoys working with customers, solving problems, and keeping things organized. We are looking for someone who takes initiative, communicates confidently, pays attention to details, and follows through without needing constant direction.
The right person will be comfortable managing multiple priorities, working independently, and taking ownership of responsibilities from start to finish. Experience in the construction, service, or product-based industry is highly preferred.
Key Responsibilities
- Provide professional and responsive customer service by phone, email, and in person
- Handle a high volume of inbound and outbound calls with confidence and professionalism
- Follow up with customers and conduct client outreach as needed
- Maintain accurate and up-to-date customer information in the CRM
- Coordinate calendars, appointments, meetings, and schedules
- Prepare documents and assist with data entry, filing, and administrative recordkeeping
- Manage incoming and outgoing correspondence
- Support daily office operations and vendor coordination
- Track office inventory and coordinate supply orders
- Assist leadership with administrative tasks, travel coordination, and special projects
- Maintain confidentiality when handling sensitive company, employee, and customer information
- Complete assignments accurately and on time
- Follow up on open items and make sure tasks are completed from start to finish
Qualifications
Required
- Associate degree
- Previous customer service experience
- Excellent verbal and written communication skills
- Strong organizational and multitasking skills
- High attention to detail
- Professional and confident phone etiquette
- Proficiency with Google Workspace and Microsoft Office
- Experience working with CRM systems
- Comfortable using AI tools and automation to improve productivity and daily workflows
- Valid driver's license
- Reliable transportation
- Ability to work on-site in Paramus, NJ
Preferred
- Experience in the construction, service, or product-based industry
- Experience with Asana and Pipedrive
- Inventory management experience
