Position Summary
The Facilities Manager is responsible for the safe, reliable, and high-quality operation of Anaha, a luxury high-rise residential community. This position oversees the building’s mechanical systems, equipment, amenities, common areas, Maintenance and Housekeeping teams, vendors, and facility projects. The role is both hands-on and administrative and works closely with the General Manager to protect the Association’s assets and provide excellent service to residents.
Key Responsibilities
- Manage daily Maintenance and Housekeeping operations and ensure Anaha consistently meets luxury residential service, appearance, cleanliness, and safety standards.
- Conduct regular property walkthroughs and inspect the tower, grounds, parking areas, common areas, residential amenities, back-of-house spaces, roofs, and equipment rooms. Identify concerns, set priorities, and follow through until each item is resolved.
- Oversee Anaha's major building systems, including HVAC and chilled-water equipment, plumbing, electrical, domestic water, pumps, water treatment, boilers, ventilation, elevators, lighting controls, and life-safety systems.
- Closely monitor and maintain the pool, spa, water features, pool mechanical room, pumps, filters, chemical systems, and related controls. Ensure water quality, equipment condition, and required records meet operational and regulatory standards.
- Create, maintain, and improve the preventive maintenance program for building systems, furniture, fixtures, and equipment.
- Perform or coordinate routine repairs and arrange specialized service when outside expertise is required.
- Coordinate and supervise contractors, consultants, and service vendors. Confirm the scope of work, protect resident areas, monitor progress, inspect completed work, and verify that deficiencies are corrected before closeout.
- Keep permits, licenses, inspections, and certifications current and ensure compliance with applicable safety requirements, including OSHA guidelines.
- Maintain clear records of inspections, work orders, preventive maintenance, equipment condition, warranties, vendor service, incidents, project progress, and recommended corrective action.
- Provide timely updates to the General Manager and prepare clear monthly reports for the Board of Directors covering equipment status, open issues, projects, costs, risks, and recommendations.
- Manage departmental expenses, service agreements, supplies, inventory, utilities, and approved purchases; recommend practical cost-saving measures.
- Maintain adequate tools, parts, chemicals, equipment, and supplies and report missing or damaged items.
- Help develop repair and replacement priorities, annual operating budgets, reserve projects, capital projects, and long-term plans for major building equipment.
- Monitor utility use and recommend practical energy- and water-conservation measures that do not reduce resident comfort or service quality.
- Respond promptly to leaks, equipment failures, floods, alarms, power interruptions, elevator issues, and other facility emergencies. Coordinate the response, protect the property, document the incident, and support restoration and follow-up work.
- Plan work to minimize noise, shutdowns, amenity closures, and inconvenience to residents. Coordinate notices and schedules with management when building services may be affected.
- Support special events, holiday installations, and other property needs as directed by the General Manager.
- Perform other related duties as assigned.
Leadership and Customer Service
- Supervise, hire, train, schedule, coach, and support Maintenance and Housekeeping employees.
- Promote teamwork, accountability, safety, professionalism, and consistent service standards.
- Maintain open communication with employees and address concerns fairly, involving the General Manager when needed.
- Communicate professionally and respectfully with residents, guests, employees, vendors, consultants, and Board members, including during stressful situations or service interruptions.
- Attend property, departmental, and Board meetings as requested and represent Anaha professionally.

Required Knowledge and Skills
- Strong working knowledge of high-rise building maintenance and major mechanical systems, including HVAC-R, chilled-water systems, pumps, controls/VFDs, electrical, plumbing, water treatment, pools, and life-safety systems.
- Strong leadership, organization, time-management, customer-service, communication, and problem-solving skills.
- Ability to manage multiple priorities, meet deadlines, work independently, and make sound decisions during emergencies.
- Ability to prepare reports, maintain records, use work-order and building-management systems, review proposals and contracts, track budgets, and perform basic financial analysis.
- Ability to read, write, speak, and understand the primary language used in the workplace.
- Working knowledge of applicable employment, safety, and workplace requirements.
Education and Experience
- Bachelor’s Degree or 2-year degree from an accredited university in Building and Construction or Engineering. Recommended but not required.
- Experience in engineering, maintenance, facilities management, or a related field, preferably in a luxury condominium, hotel, resort, or high-rise property, with technical training in HVAC-R, electrical, or plumbing; or
- Experience showing increasing responsibility and strong performance in property or facilities operations is preferred.
Schedule, Licenses, and Certifications
- Must be available to work flexible hours, including occasional evenings, weekends, holidays, and emergency call-outs.
- Must possess a valid Hawaii driver’s license.
- CPR and First Aid certification are preferred.
- Regular and reliable attendance is required.
Physical and Work Requirements
- Frequently walk, stand, sit, bend, squat, climb, reach, grasp, hear, speak, and use tools and office equipment.
- Frequently lift up to 25 pounds and occasionally lift up to 50 pounds.
- Occasionally push or pull carts and equipment weighing up to 250 pounds.
- Work indoors and outdoors and occasionally in changing weather conditions.
- Maintain a neat, clean, and professional appearance in accordance with Association standards.
Supervision
Supervises: Maintenance and Housekeeping staff.
Receives supervision from: General Manager.
