Position Overview
We are seeking a motivated and organized Administrative Assistant to join our team. This individual will serve as the first point of contact for our office while providing essential administrative support to staff and clients. The ideal candidate is proactive, detail-oriented, and able to work independently with minimal supervision.
Key Responsibilities
- Serve as the primary point of contact for the office by greeting visitors and responding to phone calls and emails.
- Provide administrative support by maintaining client files, updating monthly event calendars, managing the facility email, and coordinating transportation.
- Assist with the client intake process by ensuring all required documentation is completed and case managers receive the necessary intake materials.
- Help clients complete and submit benefit applications.
- Perform general office and administrative duties as assigned.
Qualifications
- Strong organizational, communication, and multitasking skills.
- Ability to work independently, take initiative, and manage multiple priorities with minimal supervision.
- Proficiency in Microsoft Office, including Outlook, Google, Excel, and Word.
- Experience operating standard office equipment, including copiers, printers, scanners, and other office machines.
- Excellent computer and data entry skills with strong attention to detail.
- Experience in administrative support, human services, or a nonprofit setting is preferred but not required.
- Knowledge of Diversion and CHAMP systems is a plus.
- Knowledge of behavioral health and substance use disorders is preferred but not required.
- Must be willing and comfortable working in an environment with dogs.
- Must be able to work in a fast-paced environment.
Important: Applicants must be comfortable working with individuals who have experienced mental illness, trauma, and substance use disorders. Compassion, professionalism, and the ability to maintain appropriate boundariesare essential.
