We are seeking a motivated and detail-oriented Legal Intake & Administrative Assistant to join our team. The ideal candidate is organized, personable, and enjoys working in a fast-paced, client-focused environment.
Responsibilities
- Answer incoming phone calls and respond to emails in English and Spanish.
- Welcome clients and provide exceptional customer service.
- Schedule consultations and manage attorney and staff calendars.
- Collect and organize client documents for immigration cases.
- Maintain accurate client records and electronic case files.
- Draft retainers and take payments.
- Follow up with clients regarding requested documentation and case updates.
- Assist attorneys and legal staff with administrative tasks.
- Scan, upload, and organize documents in the firm's case management system.
- Process incoming and outgoing mail.
- Perform general office and administrative duties to support daily operations.
Qualifications
- Fluent in English and Spanish (required).
- Previous experience in a law office or administrative role preferred.
- Immigration law experience is a plus but not required—we are willing to train the right candidate.
- Self-motivated, dependable, and eager to learn new skills.
- Strong communication and customer service skills.
- Ability to work independently and as part of a team.
- Excellent organizational and time-management abilities.
- Ability to multitask and prioritize in a fast-paced environment.
- Proficient in Word and PDF and comfortable learning new software.
- Professional appearance and positive attitude.
- Strong attention to detail and ability to maintain confidentiality.
