Position: Administrative Assistant
Location: Holy Spirit Catholic Church, on-site
Department: Office Administration
Reports To: Parish Pastor/Administrator
Status: Part-Time, Non-Exempt
Pay Range: $19.00 to $25.00 per hour, based on experience and qualifications
The Administrative Assistant serves as the first point of contact for parishioners, visitors, and community members. This position provides office support, maintains parish records, assists with parish events and sacramental preparation, and helps ensure the parish office operates smoothly. The Administrative Assistant creates a welcoming, professional, and faith-filled environment for everyone who visits or contacts the parish.
Because all Holy Spirit Catholic Church employees represent the Roman Catholic Church, they are expected to conduct themselves according to the goals and mission of the Church in performing their work.
- Greet and assist parishioners, visitors, and callers in a friendly and professional manner.
- Answer phones, emails, and inquiries, and direct them to the appropriate person or ministry.
- Prepare letters, reports, and parish communications.
- Maintain calendars, files, and office records.
- Register new parishioners and update parish and sacramental records.
- Assist with Mass intentions, donations, appointments, bulletin announcements, and sick-call requests.
- Help coordinate baptisms, weddings, funerals, and other parish events.
- Support facility scheduling and approved building use.
- Prepare certificates, meeting materials, and other parish documents.
- Keep office and storage areas organized.
- Support parish staff, clergy, and ministries as needed.
- Perform other duties as assigned.
Qualifications
- High school diploma required; college coursework or degree preferred.
- At least two years of office or administrative experience.
- Basic knowledge of Microsoft Office (Word, Excel, and PowerPoint).
- Strong organizational and communication skills.
- Ability to manage multiple tasks and maintain confidentiality.
- Friendly, professional, and service-oriented attitude.
- Ability to work independently and as part of a team.
- Commitment to the mission and values of the Catholic Church.
Preferred Qualifications
- Experience working in a church or non-profit organization.
- Practicing Roman Catholic.
Physical Requirements
- Regular use of a computer, telephone, copier, and other office equipment.
- Ability to sit, stand, walk, speak, and use hands for office tasks.
- Ability to occasionally lift or carry up to 25 pounds.
