The Working Supervisor is responsible for supervising, coordinating, training, motivating, and leading janitorial personnel while actively participating in daily cleaning operations to ensure all facilities consistently meet company and client standards. This position serves as a leader and role model for employees by providing hands-on support, conducting inspections, resolving operational issues, maintaining quality standards, ensuring proper staffing coverage, and performing cleaning duties alongside team members.
The Working Supervisor is responsible for maintaining operational excellence, safety compliance, customer satisfaction, workforce productivity, and quality control while ensuring all work is completed according to company procedures and client expectations.
Essential Duties and Responsibilities
Leadership and Team Supervision
- Manage, supervise, motivate, and provide daily guidance to assigned employees.
- Serve as the primary point of contact for team members during assigned shifts.
- Direct and instruct day and night porters.
- Coordinate daily work assignments and staffing needs.
- Maintain effective communication with employees, supervisors, clients, and management.
- Assist in resolving employee concerns, conflicts, and workplace issues.
- Enforce company policies, procedures, and safety requirements.
- Participate in employee evaluations and performance reviews.
- Issue corrective actions and disciplinary documentation in accordance with company policies.
Cleaning and Operational Responsibilities
- Perform routine janitorial duties and actively participate in daily cleaning operations.
- Fill in for absent employees to ensure uninterrupted service.
- Perform floor care, restroom sanitation, trash removal, dusting, vacuuming, window cleaning, and other custodial tasks.
- Respond to emergency cleaning situations and special client requests.
- Personally correct deficiencies identified during inspections.
- Ensure all cleaning tasks are completed according to company standards and client expectations.
- Lead by example by demonstrating proper cleaning techniques and safe work practices.
- Maintain assigned facilities in a clean, safe, and professional condition at all times.
Quality Control and Inspections
- Conduct routine building inspections and quality control audits.
- Ensure all facilities remain at or above company quality standards.
- Identify deficiencies and implement corrective actions immediately.
- Complete inspection reports and submit findings to management.
- Follow up on customer complaints and ensure timely resolution.
- Assist with quality control walkthroughs and customer inspections.
- Verify that all work orders are completed accurately and on time.
Staffing and Scheduling
- Oversee employee and supervisor schedules to ensure proper staffing levels.
- Arrange coverage for employee absences and emergencies.
- Monitor attendance and punctuality.
- Ensure all shifts are adequately staffed and operational requirements are met.
- Communicate staffing concerns to the Operations Manager promptly.
Training and Employee Development
- Train new employees on company procedures, safety practices, and cleaning techniques.
- Complete and maintain New Hire Training Checklists.
- Conduct ongoing training to ensure consistency and compliance with company standards.
- Coach employees to improve performance, productivity, and quality.
- Ensure all employees understand job expectations and client requirements.
Inventory, Equipment, and Supply Management
- Maintain equipment inventory records for all assigned facilities.
- Inspect equipment regularly to ensure proper working condition.
- Schedule equipment repairs and preventive maintenance.
- Monitor and control the use of cleaning chemicals and supplies.
- Ensure proper storage, labeling, and handling of chemicals.
- Verify that adequate inventory levels are maintained at all locations.
- Complete and submit Supply Order Forms by the 15th of each month.
- Submit equipment repair requests as needed.
- Ensure all equipment and supplies are properly stored at the end of each shift.
- Notify the Operations Manager immediately when supplies, chemicals, or equipment are low, damaged, or inoperable.
Safety and Compliance
- Ensure compliance with company safety policies and OSHA guidelines.
- Report accidents, incidents, injuries, or property damage immediately.
- Conduct safety observations and address unsafe conditions.
- Ensure employees wear required Personal Protective Equipment (PPE).
- Promote a safe, professional, and productive work environment.
Payroll and Administrative Responsibilities
- Verify employee time records and payroll hours for accuracy.
- Submit payroll notes, corrections, and discrepancies to the Operations Manager within three (3) days after each payroll cycle.
- Maintain accurate employee records and operational documentation.
- Complete required reports, logs, inspections, and operational paperwork.
- Report employee absences, resignations, and terminations to Human Resources in a timely manner.
Security and Key Control
- Coordinate the collection of keys at the end of each shift.
- Ensure employees do not remove company or client keys from facilities.
- Verify that all keys are accounted for and returned to designated locations.
- Report lost or missing keys immediately.
Customer Service
- Maintain positive relationships with clients, tenants, and building occupants.
- Respond professionally to customer concerns and service requests.
- Ensure all work orders are completed accurately, on time, and according to quality standards.
- Support customer retention by delivering exceptional service and maintaining high-quality cleaning standards.
Additional Responsibilities
- Attend meetings, training sessions, and company events as required.
- Assist with special projects assigned by management.
- Perform additional duties assigned by management to support company operations.
