Position Summary:
The Personal Assistant – Engineering role will support executive leadership by managing daily administrative responsibilities while coordinating engineering documentation, project deliverables, and technical communications across multiple departments. This position requires strong organizational skills combined with an understanding of engineering processes and project execution.
Key Responsibilities:
- Manage executive calendars, travel, meetings, and daily priorities.
- Coordinate engineering reports, technical documentation, and project deliverables.
- Organize project files, specifications, drawings, and engineering records.
- Assist with project scheduling, milestone tracking, and executive reporting.
- Coordinate communication between engineering, operations, project management, and executive leadership.
- Prepare meeting agendas, presentations, and technical summaries.
- Review engineering documents for consistency, formatting, and completeness before executive review.
- Track project action items and follow up on outstanding deliverables.
- Assist with budgeting, procurement documentation, and project administration.
- Coordinate special projects requiring executive oversight.
- Maintain confidentiality while supporting strategic initiatives.
Qualifications:
- Bachelor's degree in Engineering (Civil, Mechanical, Electrical, Industrial, Construction Management, or related discipline) required.
- This is an entry-level position that will build experience in engineering leadership, project management, and technical operations.
- Understanding of engineering terminology, construction documentation, and project lifecycle.
- Strong proficiency in Microsoft Office Suite.
- Experience with project management software (Primavera P6, Microsoft Project, Procore, Autodesk Construction Cloud, or similar) is preferred.
- Experience using AI-assisted tools to organize engineering documentation, summarize technical reports, manage project information, and improve workflow efficiency while maintaining accuracy and confidentiality.
- Excellent communication and organizational skills.
- Ability to prioritize multiple projects while maintaining exceptional attention to detail.
Physical Requirements:
- Work Environment: This job operates in a professional office setting. The role may require occasional travel and flexible working hours.
- Physical Demands: This role requires the ability to sit for extended periods while working on a computer. Ability to occasionally lift and carry up to 20 pounds.
