We're looking for an organized, dependable, and service-oriented Marketing, Client Success & Operations Coordinator who enjoys building relationships, coordinating projects, solving problems, and creating an exceptional experience for every client.
This is much more than an administrative position. You will become an essential member of our team and help create the systems and client experience that allow our practice to grow.
As our founder focuses on research, teaching, consultations, workshops, sales, and coaching, you'll help ensure every other part of the practice runs smoothly.
What You'll Do
Client Success
- Welcome and support new and existing clients
- Schedule discovery calls, consultations, coaching appointments, and workshops
- Answer phones, emails, and text messages professionally
- Coordinate new client onboarding and paperwork
- Maintain accurate client records and CRM
- Follow up with prospective and current clients
- Ensure every client receives an exceptional experience from first contact through ongoing care
Marketing Coordination
- Coordinate social media posting across multiple platforms
- Schedule email campaigns and newsletters
- Assist with workshops, community events, and educational presentations
- Coordinate marketing projects with outside vendors
- Help manage website updates and promotional materials
- Track marketing activities and follow up with prospective clients
- Help execute marketing systems and growth initiatives
Operations
- Manage calendars and appointment scheduling
- Order supplements and office supplies
- Coordinate inventory and vendor communication
- Process payments and coordinate with our bookkeeper
- Maintain organized office systems and procedures
- Assist with bookkeeping and administrative tasks
- Help improve workflows and operational efficiency
- Support day-to-day practice operations

Preferred Qualifications
- Experience in a medical, chiropractic, wellness, fitness, or healthcare office
- Executive assistant, office manager, or practice coordinator experience
- Marketing coordination or social media management experience
- Strong customer service and communication skills
- Experience with Microsoft Office, Google Workspace, CRM software, scheduling software, and QuickBooks (or willingness to learn)

Compensation
- Competitive hourly pay based on experience
