Job Overview
We are seeking a dedicated and detail-oriented Field Actions Operations Associate - Customer Care II to join our dynamic team on a hybrid schedule. This role is vital in supporting operational workflows, managing customer interactions, and ensuring seamless communication across healthcare teams. The ideal candidate will possess strong administrative skills, healthcare knowledge, and a passion for delivering exceptional customer service. As a key member of our customer care operations, you will contribute to maintaining efficient processes, managing data entry tasks, and supporting revenue cycle management activities to enhance overall client satisfaction.
Duties
- Handle inbound and outbound phone communication with clients, healthcare providers, and internal teams to address inquiries and resolve issues promptly.
- Manage schedule coordination for appointments, follow-ups, and internal meetings to optimize workflow efficiency.
- Maintain accurate electronic health records (EHR) by performing diligent data entry and updates in compliance with privacy regulations.
- Support insurance third-party billing processes by verifying coverage details and assisting with claims submissions.
- Facilitate internal communication among departments to ensure timely dissemination of information regarding client actions and operational updates.
- Assist with health insurance knowledge application by explaining coverage options and benefits to clients clearly and professionally.
- Utilize Microsoft Office tools effectively for documentation, reporting, and correspondence tasks.
- Contribute to revenue cycle management by tracking billing statuses and supporting collections efforts when necessary.
- Uphold excellent customer service standards through professional client communication, demonstrating empathy and clarity at all times.
Qualifications
- Prior administrative experience within healthcare settings is highly desirable, with familiarity in managing medical documentation and client interactions.
- Proficiency in Microsoft Office applications such as Word, Excel, and Outlook for daily operational tasks.
- Knowledge of managed care principles, health insurance policies, and medical terminology to support effective communication.
- Experience with electronic health records (EHR) management systems to ensure accurate data entry and record keeping.
- Strong schedule management skills to coordinate appointments efficiently while balancing multiple priorities.
- Excellent written and verbal communication skills for clear client correspondence and internal reporting.
- Ability to perform data entry accurately with high typing speed and attention to detail.
- Understanding of the revenue cycle process within healthcare organizations to support billing and collections activities.
- High School diploma or equivalent and 2 years of related customer service, administrative, or operations experience. ERP or regulated-industry experience preferred.
Skills
1. Proficient with MS Office Suite.
2. Physically stuff, label and send materials to our customers as necessary.
3. Research customer contact information and then reach out to those customers via email and phone.
4. Pull reports from our ERP system and prepare for others to assess.
5. Support customer inquiries via email interactions.
6. Experience within medical device or any other regulated environment.
