Full-Time | Real Estate Office
We are seeking an experienced, professional, and customer-focused Office Administrator to join our busy real estate office. Key Responsibilities
- Welcome clients, agents, vendors, and visitors with a warm, professional demeanor.
- Answer and manage a busy multi-line phone system efficiently and courteously.
- Maintain a polished, organized, and welcoming front office.
- Provide administrative support to management and real estate agents.
- Handle general office duties including mail, filing, scheduling, data entry, and office organization.
- Assist agents with day-to-day requests and administrative needs.
- Prepare and coordinate marketing materials including flyers, brochures, postcards, presentations, listing packages, and other promotional materials.
- Assist with printing, production, and marketing-related projects while ensuring quality and timely completion.
- Support real estate transaction coordination, including preparing files, tracking deadlines, communicating with escrow, lenders, agents, and clients, and ensuring transactions move smoothly from contract to closing.
- Assist with special projects and other administrative duties as assigned.
Qualifications
- Real estate industry experience is required.
- Experience with real estate transaction coordination is highly preferred.
- Previous administrative, front desk, office management, or client service experience.
- Outstanding customer service and interpersonal skills with the ability to communicate professionally with clients, agents, vendors, and management.
- Positive attitude, strong work ethic, professional appearance, and dependable attendance.
- Excellent organizational skills with the ability to prioritize multiple tasks, manage deadlines, and work independently in a fast-paced environment.
- Exceptional attention to detail and commitment to accuracy.
- Strong verbal and written communication skills.
- Ability to maintain confidentiality and exercise sound judgment.
- Proficiency in Microsoft Office (Word, Excel, Outlook, and Publisher).
- Experience with SkySlope is a plus.
- Experience with marketing software, Canva, Adobe Creative Suite, social media, or similar marketing platforms is a plus.
- Comfortable learning new technology and operating office equipment, including high-volume copiers and printers.
