Orchard Farm High School is seeking to hire a school secretary to join our team for the 2026-2027 school year!
The high school secretary provides clerical support to the building administrators and staff members, providing a wide variety of complex and confidential administrative and secretarial support, communicating information to school district employees, students, parents and others as required, and to assist in ensuring compliance of department/program activities with legal, administrative and District policy requirements.
Position Term: School Year, plus 2 weeks before and after (10 month)
Starting Rates: $16.00 - $19.00, depending on education and experience
Work Week: Monday - Friday

Minimum Qualifications

High School Diploma or equivalent
-
Two (2) years clerical experience
-
College course work, Associate or Bachelors degree preferred
-
Successful experience with office management in related area preferred.
Essential Functions: (include but limited to the following)

Maintains and monitors daily student and staff attendance records, ensuring accuracy and compliance with district and state reporting requirements.

Conducts daily attendance follow-up with parents/guardians regarding student absences and collaborates with school counselors and administrators to address attendance concerns and support intervention efforts.

Performs data entry and maintains student, staff, and office records in district information systems and databases.

Composes, prepares, formats, and edits correspondence, reports, bulletins, notices, memoranda, and other documents for administrators and staff to communicate information, confirm events, and support school operations.

Copies, distributes, and maintains records of communications and informational materials for employees, students, parents/guardians, and community members.

Serves as a primary point of contact for the school office by answering telephone calls, greeting visitors, responding to inquiries, and directing requests to appropriate personnel.

Assists with maintaining and coordinating building calendars, appointments, meetings, events, and other scheduling activities.

Attends meetings as assigned to record, gather, and disseminate information necessary to support school operations and administrative functions.

Maintains confidential student, personnel, and administrative records, ensuring accurate filing, retention, and accessibility in accordance with district policies and applicable regulations.

Assists in organizing and prioritizing office workflow and administrative tasks to promote efficient operations and timely completion of assignments.

Maintains documents, files, and records to provide current reference information, support reporting requirements, and ensure compliance with district, state, and federal guidelines.

Provides administrative and clerical support to building administrators and staff, including preparing materials, processing forms, and coordinating routine office activities.

Operates standard office equipment and utilizes district software applications to perform assigned duties efficiently and accurately.

Performs other related duties as assigned to support the efficient and effective operation of the school and district.
Knowledge, Skills and Abilities

Knowledge of office management and administrative support procedures.

Knowledge of applicable federal and state laws, regulations, district policies, procedures, and best practices related to student records, attendance, confidentiality, and school operations.

Knowledge of standard office technology, software applications, and business communication practices.

Strong organizational and time management skills with the ability to manage multiple priorities and meet deadlines.

Proficiency in the use of personal computers and software applications, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, internet-based applications, and student information systems.

Skill in maintaining accurate records and processing paperwork according to established procedures and deadlines.

Effective verbal and written communication skills.

Skill in customer service and maintaining positive working relationships with students, staff, parents/guardians, and community members.

Ability to establish and maintain effective working relationships with administrators, staff, students, parents/guardians, and the public.
