Responsibilities
- Manage front desk operations, greeting visitors and clients with professionalism and warmth
- Answer multi-line phone systems promptly, directing calls accurately and courteously
- Handle scheduling, calendar management, and appointment setting for staff and executives
- Perform data entry, filing, and record keeping with precision using tools like Microsoft Office and Google Workspace
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial processes
- Support office management activities including supply ordering, inventory tracking, and maintaining office equipment
- Provide exceptional customer service by addressing inquiries, supporting client needs, and ensuring a positive experience
- Proofread documents for accuracy and clarity before distribution or submission
- Coordinate administrative tasks such as proofreading correspondence, managing emails, and organizing meetings
- Maintain a tidy and organized office environment to promote efficiency and professionalism
Requirements
- Proven experience in office administration or clerical roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Experience with QuickBooks or similar bookkeeping software is preferred
- Excellent phone etiquette with experience managing multi-line phone systems
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong computer literacy including data entry, typing skills, and familiarity with office equipment
- Previous experience as a receptionist or personal assistant is advantageous
- Ability to handle multiple priorities efficiently while demonstrating excellent time management skills
- Attention to detail with proofreading skills to ensure accuracy in all communications
- Knowledge of medical or dental receptionist duties is a plus but not required
- Demonstrated customer service skills with a friendly and professional demeanor
