Operations Manager

As YES approaches four decades of service to the Pittsburgh community, we are entering an exciting period of organizational growth. We are seeking a collaborative, strategic, and systems-oriented Operations Manager who is energized by building strong organizations that create exceptional opportunities for young people.
Position Purpose
The Operations Manager serves as the primary steward of operational excellence at Youth Enrichment Services. This position strengthens the organization's internal systems, administrative infrastructure, and operational processes to ensure staff are equipped to deliver high-quality programming and organizational goals are achieved efficiently and effectively. Working collaboratively across the leadership team, the Operations Manager helps build the organizational capacity to support YES's mission.
Primary Responsibilities
Organizational Operations
- Develop, implement, and continuously improve organizational systems, workflows, and operational processes
- Oversee day-to-day administrative operations to ensure organizational effectiveness
- Develop and maintain organizational policies, procedures, and operational documentation
- Coordinate organizational technology systems, facilities, vendor relationships, and operational contracts to ensure efficient organizational functioning
Resource Stewardship & Administrative Services
- Coordinate procurement, purchasing, and inventory systems to ensure organizational and programmatic resources are available when needed
- Oversee the distribution, maintenance, and tracking of organizational equipment, supplies, technology, and program resources
- Collaborate with the Chief Financial Officer and Grants Manager to ensure purchasing activities align with organizational budgets and financial procedures
- Develop systems that promote responsible stewardship and efficient use of organizational resources
Human Resources & Talent Support
- Coordinate recruitment, hiring, onboarding, and offboarding processes to ensure a positive employee experience
- Maintain personnel records, leave requests, and organizational compliance related to employment practices
- Coordinate staff orientation, training logistics, and professional development activities
- Support supervisors in implementing consistent personnel practices and organizational policies
Organizational Coordination
- Coordinate organization-wide calendars, planning processes, and internal communication
- Foster communication and collaboration across departments to support coordinated planning, implementation, and problem-solving
- Manage administrative systems that support efficient organizational operations
- Support implementation of strategic initiatives and organizational priorities
Continuous Improvement & Organizational Effectiveness
- Evaluate organizational systems and recommend improvements that increase organizational effectiveness
- Develop and maintain documentation, operational standards, and administrative procedures
- Identify opportunities to improve efficiency, communication, and organizational capacity
- Support implementation of strategic initiatives, organizational initiatives, and special projects as assigned

Preferred Qualifications
- Bachelor's degree in Business Administration, Organizational Leadership, Nonprofit Management, Human Resources, Public Administration, or a related field (or equivalent professional experience).
- Three to five years of experience preferred in operations, organizational management, administration, business leadership, or a related field, with demonstrated success improving organizational systems and infrastructure.
- Experience managing operations within a nonprofit organization, small business, entrepreneurial venture, educational institution, or similarly dynamic environment.
- Demonstrated experience developing organizational systems, improving operational effectiveness, and managing multiple organizational priorities.
- Experience supporting human resources functions, project management, purchasing, and organizational planning.
- Strong organizational, technology, communication, and relationship-building skills.
- Commitment to collaborative leadership, continuous learning, and organizational improvement.

Compensation will be commensurate with pay starting at $55,000. Please keep in mind that we are looking to fill this position by the end of August 2026.
