Position Summary:
We are looking for a highly organized and dependable Mobile Service Coordinator to support our Hialeah branch’s mobile service operations. This position is responsible for coordinating schedules, dispatching mobile trucks, handling administrative work, and helping ensure our mobile reefer and trailer technicians are set up to complete repairs efficiently in the field.
This role is the communication hub between customers, technicians, service management, and internal departments. The ideal candidate is detail-oriented, calm under pressure, and able to manage multiple moving pieces without letting things fall through the cracks.
Key Responsibilities:
Coordinate daily schedules for mobile reefer and trailer service trucks.
Dispatch technicians to customer locations, breakdowns, and scheduled service calls.
Communicate with customers regarding service needs, arrival times, updates, and completion status.
Open, maintain, and close repair orders accurately.
Enter technician notes, labor, parts, mileage, and other service details into the system.
Assist with parts coordination to help ensure mobile technicians have what they need for each job.
Track mobile truck activity, job status, and technician availability throughout the day.
Support invoicing by ensuring repair orders are complete, accurate, and properly documented.
Communicate with service managers regarding delays, customer concerns, urgent repairs, and scheduling conflicts.
Help prioritize calls based on urgency, customer needs, technician availability, and location.
Maintain organized records for mobile service work, customer requests, and completed repairs.
Provide general administrative support for the Hialeah service department as needed.
Qualifications:
Previous experience in service coordination, dispatch, scheduling, or administrative support preferred.
Experience in the transportation, trailer, refrigeration, fleet maintenance, or heavy equipment industry is a plus.
Strong communication and customer service skills.
Ability to stay organized in a fast-paced environment.
Comfortable using computers, service software, email, and phone systems.
Able to multitask and adjust quickly when priorities change.
Strong attention to detail with repair orders, documentation, and billing information.
Bilingual English/Spanish preferred, but not required.
Ideal Candidate:
The right person for this role does not need to be a technician, but they do need to understand urgency, communication, and follow-through. Mobile service can get chaotic fast. We need someone who can keep the trucks moving, keep customers informed, and keep the paperwork clean.
