Job Overview
We are seeking a highly organized and dependable Office Manager / Bookkeeper to join our growing plumbing company. In this vital role, you will oversee the daily administrative and financial operations of the office, helping ensure jobs run smoothly from scheduling and invoicing to payroll and expense tracking. Your attention to detail, strong communication skills, and ability to manage multiple priorities will support both our field technicians and office operations while delivering excellent customer service.
This position is ideal for someone who is proactive, detail-oriented, and comfortable working with QuickBooks, Google Workspace, and Microsoft Office in a fast-paced environment.
Duties
- Manage daily office operations, including answering phones, responding to emails, greeting customers, and providing exceptional customer service
- Create, process, and send customer invoices in a timely and accurate manner
- Track customer payments and follow up on outstanding invoices as needed
- Process employee payroll and maintain accurate payroll records
- Maintain accounts receivable and accounts payable records using QuickBooks or similar accounting software
- Track job-related expenses, material costs, and project profitability
- Monitor job timelines and assist with coordinating schedules to ensure projects stay on track
- Organize and maintain digital files, documents, and folder structures within Google Drive and Microsoft Office systems
- Manage calendars, schedule appointments, and coordinate meetings
- Maintain accurate records through data entry, reporting, filing, and spreadsheet management
- Order and monitor office supplies and ensure the office remains organized and efficient
- Assist with administrative projects, correspondence, permits, and other office management duties as assigned
Requirements
- Proven experience in office management, bookkeeping, administrative support, or a related role
- Strong understanding of invoicing, accounts payable, accounts receivable, and payroll processing
- Proficiency with Google Workspace (Drive, Gmail, Sheets, Docs) and Microsoft Office Suite (Word, Excel, Outlook)
- Excellent organizational skills with the ability to manage multiple tasks and deadlines
- Strong attention to detail and accuracy in financial and administrative work
- Professional communication skills, including phone etiquette and customer service experience
- Ability to work independently, solve problems, and take initiative
- Bilingual abilities are a plus but not required
- Strong time management skills and the ability to maintain confidentiality with company and employee information
