We are seeking a proactive and bilingual Office Admin (Mandarin) to join our team. This role offers an exciting opportunity to support daily office operations, facilitate communication, and ensure smooth administrative workflows within a fast-paced environment. The ideal candidate will be energetic, detail-oriented, and possess strong organizational skills to contribute to our company's success.
Responsibilities
- Manage front desk operations, greeting visitors and directing calls with professionalism and courtesy
- Handle multi-line phone systems efficiently, providing excellent customer support and information dissemination
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
- Assist with office management tasks, including filing, proofreading, calendar management, and organizing documents
- Support bookkeeping activities such as invoicing, expense tracking, and basic financial record keeping
- Coordinate scheduling for meetings and appointments, ensuring effective time management for staff
- Maintain office supplies inventory and oversee general clerical duties to keep the workspace organized
Skills
- Bilingual proficiency in Mandarin and English to facilitate seamless communication with diverse stakeholders
- Strong computer literacy with experience in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Familiarity with QuickBooks for bookkeeping and financial record management
- Excellent organizational skills with the ability to multitask effectively in a busy office setting
- Exceptional phone etiquette and customer service skills for front desk interactions
- Proven experience in office management, clerical work, or administrative roles with attention to detail
- Strong typing speed and data entry skills to ensure accuracy and efficiency
