Apex Clean Air is a growing HVAC and air duct cleaning company focused on providing excellent service and making a positive difference for our customers.
We are hiring a dependable, driven, and highly motivated Outbound Outreach Scheduler to join our office team. This is a performance-based position for someone who enjoys making calls, following up consistently, and turning customer interest into scheduled appointments.
This is not a position for someone who waits for the phone to ring. We need someone who is comfortable dialing throughout the day, managing multiple lead sources, and staying focused on daily goals and metrics.
What You Will Do
You will help keep our HVAC and air duct cleaning schedules full by:
- Making outbound calls to warm leads, existing customers, and prospective customers
- Following up with customers by phone, text, and email
- Monitoring multiple online lead portals and responding quickly to new opportunities
- Scheduling HVAC and air duct cleaning appointments
- Following up on missed calls, unscheduled leads, estimates, reschedules, and previous customer inquiries
- Working open availability and cancellation lists to help fill the schedule
- Communicating confidently and guiding each conversation toward a scheduled appointment
- Documenting every contact attempt and customer interaction accurately
- Managing lead pipelines so opportunities are not forgotten or left unfinished
- Meeting daily and weekly expectations for outbound calls, follow-up activity, booking rates, and scheduled appointments
These are primarily warm leads and customers who have previously expressed interest in our services. However, success requires confidence, persistence, and the willingness to make outbound calls throughout the entire shift.

Required Skills
- Strong verbal and written communication

- Persistence without being pushy
- Strong time management and personal accountability
- Previous outbound calling, appointment setting, home-service scheduling, sales, or lead-management experience is preferred
Performance Expectations
This is a goal-oriented position. Performance will be measured using standards such as:
- Outbound call activity
- Speed and consistency of lead follow-up
- Number of scheduled appointments
- Booking and conversion rates
- Accuracy of notes and lead documentation
- Completion of assigned follow-up
- Attendance, punctuality, and reliability
Compensation will depend on experience and may include performance-based incentives tied to meeting established goals and metrics.
Schedule
Apex Clean Air operates Monday through Saturday from 7:00 a.m. to 7:00 p.m. Your assigned schedule will fall within those operating hours and may include Saturdays.
