About TuCha
TuCha is a fast-growing dessert/CPG business with cross-border operations spanning China, Hong Kong, and the United States, including retail store expansion and new business lines. We move fast, wear many hats, and operate across time zones. We’re looking for a sharp, discreet, and highly organized Executive Assistant to be the right hand to our CEO.
Role Overview
You will report directly to the CEO and serve as their primary point of leverage — managing time, information, communications, and follow-through so the CEO can focus on the highest-value decisions. This is a hybrid executive/personal assistant role spanning business and personal domains. Given TuCha’s cross-border footprint, you’ll need to be responsive across time zones and comfortable with high availability, including evenings and weekends when time-sensitive matters arise. In return, you become the trusted operator at the center of everything the CEO touches.
Core Responsibilities
- Own and defend the CEO’s calendar — scheduling, prioritizing, and resolving conflicts across US, Hong Kong, and China time zones
- Serve as the first point of contact and gatekeeper for the CEO; triage inbound requests, emails, and messages, and draft/send correspondence on the CEO’s behalf
- Coordinate complex, multi-leg international travel (flights, visas, hotels, ground transport, itineraries) and adjust in real time when plans change
- Prepare the CEO for every meeting — agendas, briefing notes, background research, and follow-up action tracking
- Capture and drive follow-through on action items across the leadership team; chase deadlines so nothing falls through the cracks
- Handle sensitive and confidential business and personal information with complete discretion
- Manage personal tasks and errands for the CEO as needed (appointments, reservations, household/vendor coordination, personal purchases)
- Act as liaison between the CEO and internal team members, external partners, investors, vendors, and suppliers across jurisdictions
- Process expenses, reconcile receipts, and coordinate with finance on the CEO’s reimbursements and personal/business spend tracking
- Plan and coordinate meetings, offsites, events, and team logistics
- Anticipate needs — stay one step ahead of the CEO, flag issues early, and proactively remove friction from their day
- Build lightweight systems and standard operating procedures to make recurring tasks faster and more reliable as the company scales
Requirements
- Business proficiency in English and Chinese (Mandarin and/or Cantonese) — comfortable communicating and drafting in both
- 0 to 3+ years of experience supporting an executive, founder, or in an administrative, operations, or project coordination role. Outstanding recent graduates with exceptional organizational skills, maturity, and communication abilities are encouraged to apply.
- Exceptional organization and attention to detail; you rarely drop things, and when you do, you catch them
- High availability and responsiveness across time zones, including evenings and weekends for urgent matters
- Excellent written and verbal communication; able to represent the CEO professionally with any audience
- Sound judgment and absolute discretion with confidential information
- Resourceful and proactive — you solve problems without being told exactly how
- Fluent with modern productivity and communication tools (calendar, email, messaging, travel, and document tools)
Bonus Points
- Experience supporting a founder or executive at a startup or scale-up, ideally in consumer, F&B, or CPG
- Familiarity operating across US–Asia time zones and cross-border logistics
- “AI-native” — comfortable using AI tools (ChatGPT, Claude, etc.) to draft, summarize, research, and automate workflows
- Event planning, project coordination, or light bookkeeping experience
- A valid passport and willingness to travel when needed

Pay: $69,000.00 - $80,000.00 per year
