Essential Duties and Responsibilities:
Resident and Guest Interaction
Welcome and assist all visitors and residents with warmth and professionalism
Schedule transportation services and communicate instructions to residents
Accept meal reservations and coordinate dining counts with the Dietary Department

Receive and enter Maintenance work orders
Telephone and Communications
Answer and direct phone calls appropriately
Locate personnel via radio or voicemail
Report suspicious activity to Security or Supervisor
Guest Apartments Management
Maintain reservation book for guest apartments
Notify departments about guest arrivals and departures
Track residents away from premises and safeguard their information
Concierge Staff Oversight
Train part-time staff on new or updated procedures
Ensure staff compliance with emergency protocols
Perform monthly pendant checks in collaboration with Maintenance
Transportation Scheduling
Print daily van schedules
Communicate pickup times with drivers
Confirm safety of residents who have not pressed their "OK" buttons
Administrative Support
Receive and distribute live payroll checks
Update staff attendance lists and send daily emails
Manage Work Order Program data integrity
Print daily resident rosters and update reservation sheets biweekly
Maintain financial logs, cash drawer, and perform transactions
Accept payments, sell meal tickets, and cash checks
Coordinate group meal reservations and dining room usage
Recordkeeping & Safety
Maintain vehicle registration lists for residents and staff
Prepare resident charge slips
Monitor fire and alarm systems and contact emergency services
Follow emergency instructions from responding professionals
Operate office equipment and maintain organized work areas
Participate in drills, training, and safety programs
Resident Rights and Confidentiality
Ensure confidentiality and respect of resident care information
Uphold rights regarding privacy, dignity, and fair treatment
Follow Universal Precautions policies
Foster a warm, calm, and respectful atmosphere
Minimum: High School Diploma or equivalent
Minimum 6 months in a clerical or receptionist position OR completion of an accredited secretarial program
Minimum 6 months of tech support experience (phones, Wi-Fi, TVs, computers)
Skills and Qualifications
Fluent in English (verbal and written)
Capable of independent decision-making and crisis management
Professional demeanor when interacting with diverse individuals
Knowledge of administrative operations
Positive, collaborative attitude
Proficient with office equipment (word processors, 10-key)
Skilled in using computers, A/V systems, Wi-Fi, and connectivity tools
Ability to adopt and apply new methods and practices
