About Azana Psychology Center
Azana Psychology Center, APC is a growing California psychological assessment practice serving children, adolescents, young adults, and families. We are seeking a dependable, highly organized Administrative Assistant who understands the workflow and confidentiality requirements of a psychology practice.
This is a remote, part-time position beginning at approximately 5–10 hours per week, with the potential for additional hours as the practice grows.
Primary Responsibilities
- Respond warmly and professionally to prospective and current patient inquiries by telephone and email
- Schedule intake, testing, and feedback appointments
- Send intake forms and monitor their completion
- Verify behavioral-health and psychological-testing insurance benefits
- Collect insurance cards, demographic information, and other required documents
- Request and track school, medical, and mental-health records
- Send routine reminders regarding forms, records, and appointments
- Maintain an accurate tracker of active cases and outstanding administrative tasks
- Coordinate with the practice’s billing professional regarding claim-related administrative needs
- Maintain strict patient confidentiality and follow HIPAA and practice policies
Required Qualifications
- Previous administrative experience in a psychology, mental-health, or behavioral-health practice
- Direct experience verifying insurance benefits
- Strong organizational skills and exceptional attention to detail
- Excellent written and verbal communication
- Ability to manage multiple patients at different stages of the evaluation process
- Reliable follow-through and comfort working independently
- Ability to communicate promptly when questions or problems arise
- Reliable computer, secure internet connection, and a private workspace suitable for handling confidential information
- Current residence in California
Experience with SimplePractice and psychological or neuropsychological assessment practices is strongly preferred.
Schedule and Compensation
- Approximately 5–10 hours per week initially
- Flexible remote schedule with some weekday availability required for patient communication and insurance verification
- $23–$28 per hour, depending on relevant experience
- California paid sick leave provided in accordance with applicable law
- Potential for increased hours and responsibilities as the practice grows
