Wyldwolf Games partners with schools, libraries, community education programs, parks departments, and other organizations across Minnesota to deliver professionally run tabletop roleplaying game programs that inspire creativity, teamwork, and confidence.
As our Enrichment Programs continue to grow, we're looking for an Enrichment Programs Administrator to become the administrative backbone of our operations. This is not a traditional office administrative position. You'll oversee the administrative workflow behind hundreds of enrichment program bookings each year, ensuring every program is accurately scheduled, properly staffed, thoroughly prepared, and successfully completed.

Working under the direct supervision of the Chief Administration Officer, you'll support the day-to-day administration of Wyldwolf's Enrichment Programs from booking through completion.
Your Responsibilities Will Include:
- Processing new program bookings and entering them into company systems.
- Coordinating Game Master staffing for school and community partner programs.
- Tracking staffing needs and proactively identifying scheduling gaps.
- Communicating with Game Masters regarding bookings, schedules, expectations, and required documentation.
- Preparing and distributing detailed booking information so every Game Master has everything they need before arriving on site.
- Assisting with recruiting, interviewing, onboarding, and background check coordination for new Game Masters.
- Preparing contractor paperwork and maintaining accurate personnel records.
- Generating and issuing invoices for completed programs.
- Monitoring booking progress to ensure every administrative step is completed accurately and on time.
- Maintaining organized records across multiple software platforms.
- Identifying opportunities to improve administrative processes and operational efficiency.
- Assisting with additional administrative and operational projects as assigned.

- Every Game Master receives complete, accurate information before their assignment.
- Community partners receive timely invoices and professional communication.
- Administrative details are handled accurately the first time.

Preferred Qualifications:
- Administrative or office support experience.
- Experience coordinating schedules, logistics, or project workflows.
- Strong proficiency with Google Workspace.
- Experience with project management software such as ClickUp or similar platforms.
- Experience with invoicing, bookkeeping, or basic administrative accounting tasks.
- Experience working with schools, educational organizations, or community programs is a plus.
- Familiarity with tabletop roleplaying games is appreciated but not required.
