JOB TITLE: Payroll Specialist/ Human Resource Administrator
Status: Salary, Non-Exempt
REPORTS TO: Human Resources Manager
GENERAL SUMMARY:
Payroll Duties - This position will be the site expert for Payroll Processing and Payroll Systems.
HR Admin/Generalist - Provide focus, leadership, consistency and support to the management at all levels of the organization.
JOB DUTIES:
· Work with management team to plan, schedule and participate in new hire orientation and the processing of paperwork for benefits, payroll, other employee programs, and training.
· Maintain accurate personnel records for all employees and ensure compliance with federal and state laws. Timely prepare monthly reports for USA and Italy.
· Process monthly billings for insurance, 401K and other HR related benefits and purchases.
· Interpret, enroll, and assist associates in understanding health benefit details, ensuring payment of claims, and processing of required forms and documentation.
· Process weekly and bi-weekly payroll for all associates and process necessary management reports and records, including time and attendance, payroll hours and overtime reports.
· Identify and assess system, procedure or safety problems and needs, including potential problems and needs, then make recommendations for corrective action.
· Keep informed on human resources trends and legal issues, and advise management of the actual or potential impact on the company.
· Respond to associate questions, concerns, and complaints within company policies. Share serious concerns with the management team so issues can be addressed quickly. Effectively interact with all levels of the organization.
· Ensure fair and consistent treatment and interpretation of corporate policies and practices for all associates.
· Assist Management in providing an effective recruiting program that meets the hiring needs of the organization in the most cost effective means available. Plan, schedule, and conduct or assist with interviewing process with management team. Conduct reference checks. Schedule medical, blood draw, and drug screening appointment(s).
· Assist in identifying the training needs of the company and help support a training program of internal and external training to meet those needs.
· Advise management of compensation and benefits costs and trends with the goal of ensuring the company is competitive in the marketplace.
· Annually review the information for the Form 5500 for the company 401(k) plan.
· Active participant of health and safety committee. Respond to and investigate injuries or illness of associates as they occur to provide necessary medical treatment and determine work relationship. Timely process insurance claims, maintain OSHA log, and participate in the treatment plans to return associates to work. Cooperate with legal counsel on litigated worker’s compensation claims. Determine appropriate action to protect the interests of the company.
· Plan, schedule, and greet associates at company or community functions.
· Participate in community associations as they relate to business or associate education.
· Attend required meetings to discuss plans, results, problems, and special activities.
· Maintain a clean work environment by ensuring the Human Resources department is in good order. Must abide by and be an example of all safety rules and practices.
PREFERRED KNOWLEDGE, SKILLS, ABILITIES, EDUCATION AND TRAINING:
Three or more years of experience as a specialist in payroll administration and/or human resource administration.
· Concentrated mental and visual attention required to perform complex work to very close limits of high accuracy and quality for sustained periods of time.
· Requires the use of judgement to plan, perform and make decision as to the sequence of set-ups, operations and processes withing the limitation of recognized or standard methods and procedures.
· Ability to interpret a variety of instructions furnished in written, oral or schedule form.
· Low physical effort required consisting of standing or walking 2-3 hours, sitting 6-7 hours, periodic lifting up to 50 pounds, bending, pushing and pulling, and constant use of arms to fingers to inspect document, assist, write, type reports and enter data.
· Common intelligence, courtesy, and a cooperative spirit needed to respond to internal and external department requests, interact, motivate and train associates at various levels of the organization, and clearly present information.
· Required to wear safety glasses and booties over shoes.
· Preferred specific training: Microsoft programs and Internet, First Aid and CPR certification, and ADP system
