Overview
We are seeking a dedicated and detail-oriented Operations Coordinator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing various administrative tasks and supporting our staff across multiple departments. This position requires strong organizational skills, effective communication, and the ability to multitask in a fast-paced environment.

Duties
- Answer and respond to calls and emails.
- Maintains detailed and accurate patient records in compliance with all CHAP policies and procedures.
- Cross trains in the various billing, pharmacy, and business operations areas.
- Participates in branch, department and intra-department meetings and quality assurance activities as directed..
- Handle customer inquiries both telephonically and by email.
- Identify and escalate priority issues to the appropriate personnel.
- Route calls to the appropriate resource.
- Assist pharmacy technician when needed.
- Conduct general and clerical office tasks including but not limited to scheduling meetings, taking minutes, etc.
- Provides support to the Call Center team including but not limited to running reports, making outreach calls, assisting in the mailroom, etc.
- Responsible for monitoring and ordering all office supplies.
- Assists President, CFO and COO as needed or required.
- Assist with Durable Medical Equipment billing.
- Assists with overseeing vehicle fleet, EZ pass access, automobile insurance coverage and registration.
- Assists with updating company policies and procedures.
- Monitors employee trainings and ensures that employees are compliant with all training requirements for contractual agreements and CHAP accreditation.
Qualifications
- Proven experience in an office management or administrative role is preferred.
- High school diploma or general education degree (GED) required.
- Knowledge of customer service principles and practices.
- Microsoft Excel – advanced experience required.
- Adobe document editing – advanced experience.
