Job Summary
The Facility Administrator is responsible for supporting daily office, warehouse, and facility operations while providing administrative and logistical support to employees, project teams, and management. This position plays a key role in ensuring smooth workplace operations, employee onboarding logistics, facility coordination, housing arrangements, equipment management, and administrative support across the organization.
The ideal candidate is highly organized, proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced construction and semiconductor project environment.
Essential Duties and Responsibilities
Facility & Office Administration
- Support daily office and facility operations to ensure an efficient and organized work environment.
- Coordinate office supplies, furniture, equipment, facility maintenance requests, and vendor services.
- Maintain facility records, administrative files, and operational documentation.
- Assist with office moves, workspace setup, and facility-related projects.
- Provide general administrative and facility support for office and warehouse operations.
Employee Relocation & Housing Coordination
- Assist with housing arrangements and lease coordination for expatriate and relocated employees.
- Coordinate move-in and move-out processes with property management companies and landlords.
- Support utility account setup and housing-related administrative matters.
- Serve as a point of contact for employee housing and relocation inquiries.
Employee Support
- Support employees with bank account setup and Social Security Number (SSN) application processes.
- Assist with new hire onboarding logistics and employee orientation/training preparation.
- Coordinate employee travel arrangements and related logistics when required.
- Provide support for employee accommodation, transportation, and relocation needs.
Vehicle & Logistics Coordination
- Coordinate vehicle rentals and transportation arrangements for employees and project operations.
- Track vehicle assignments, reservations, and related documentation.
- Assist with daily logistics coordination and operational support as needed.
Equipment & IT Coordination
- Prepare and manage laptops, monitors, mobile devices, and office equipment for new hires and expatriate employees.
- Maintain inventory records for company-issued hardware and equipment.
- Assist with basic IT-related coordination, including equipment requests, account setup coordination, and communication with external IT providers.
- Support Microsoft 365 account setup coordination and employee onboarding logistics.
Vendor & Operational Support
- Coordinate with vendors, property management companies, service providers, and contractors.
- Support procurement-related administrative activities and vendor communications.
- Assist management with special projects and operational initiatives as assigned.
Communication & Coordination
- Serve as a liaison between employees, management, vendors, and external service providers.
- Coordinate cross-functional administrative activities to support business operations.
- Assist department managers with administrative and operational support as needed.
Qualifications
Education
- Associate's degree or Bachelor's degree in Business Administration, Facilities Management, Operations Management, Project Management, or a related field preferred.
Experience
- Minimum 2 years of administrative, office management, facilities coordination, operations support, or related experience.
- Experience supporting construction, engineering, semiconductor, manufacturing, warehouse, or industrial environments is preferred.
- Experience supporting expatriate employees or employee relocation is highly preferred.

- Proficiency in Microsoft Office Suite, including Excel, Outlook, Word, and PowerPoint.
- Experience with Microsoft 365, SharePoint, OneDrive, Smartsheet, or similar systems is preferred.
- Ability to work independently and maintain confidentiality.
- Bilingual English and Mandarin Chinese is preferred.
Basic Job Requirements
The employee must:
- Possess and maintain a valid driver’s license throughout employment.
- Have reliable personal transportation and be able to travel locally as required to perform job duties.
- Maintain valid automobile insurance as required by applicable law.
- Be willing and able to drive to various work sites, vendor locations, employee housing locations, government offices, and other business-related locations as needed.
- Be able to lift, carry, push, or move items weighing up to 50 pounds, with or without reasonable accommodation.
- Be able to stand, walk, bend, reach, and perform other physical activities associated with office, warehouse, and field-support duties.
- Be available to perform occasional field assignments, errands, deliveries, pickups, and other business-related tasks as required.

Pay: $56,000.00 - $60,000.00 per year
