Duties
- Greet visitors, clients, and staff with professionalism and warmth, creating a positive first impression.
- Manage multi-line phone systems to answer inquiries promptly, direct calls accurately, and handle messages efficiently.
- Maintain a clean, organized front desk area, ensuring all supplies are stocked and accessible.
- Handle data entry tasks using computer skills including Microsoft Office, Google Workspace, and Specific EMR to update records, schedules, and financial information.
- Assist with appointment scheduling and calendar management for staff or specific departments.
- Support administrative functions such as filing, proofreading documents, managing correspondence, and maintaining accurate records.
- Provide exceptional customer support by addressing inquiries with patience and clarity—whether in person or over the phone—adhering to proper phone etiquette.
- Perform clerical duties including copying, scanning, faxing documents, and managing office supplies inventory.
- Support office management tasks such as organizing files, managing incoming mail, and assisting with special projects as needed.
- Contribute to a professional environment by demonstrating excellent organizational skills and time management to prioritize tasks effectively.
- When needed, assist with laundry.
Skills
- Proven experience in office management or administrative roles with strong clerical skills.
- Excellent customer service abilities combined with professional phone etiquette.
- Proficiency in computer literacy including Microsoft Office Suite (Word), Google Workspace (Docs, Sheets).
- Bilingual capabilities are a plus to serve diverse client needs effectively.
- Strong organizational skills with keen attention to detail for proofreading and data entry tasks.
- Ability to handle multi-line phone systems efficiently while maintaining composure under pressure.
- Experience in medical receptionist roles is advantageous but not required; relevant personal assistant experience is also valued.
- Knowledge of office equipment such as fax machines, scanners, printers, and filing systems.

Pay: $18.00 - $20.00 per hour
