Position Overview
We are seeking a reliable and detail-oriented Clerk Secretary to provide clerical, administrative, and records-support services within a classification-focused work environment. The successful candidate will be responsible for maintaining accurate records, processing documentation, coordinating administrative activities, and supporting day-to-day office operations.
The role requires strong organizational skills, attention to detail, confidentiality, and the ability to manage records and administrative tasks accurately and efficiently.
Key Responsibilities
- Maintain, update, organize, and retrieve records and administrative files.
- Review documents and records for completeness, accuracy, and consistency.
- Enter, update, and maintain information in databases, spreadsheets, and electronic record systems.
- Prepare, process, organize, and distribute correspondence, forms, reports, and other administrative documents.
- Perform general clerical and secretarial duties to support daily operations.
- Process documentation in accordance with established procedures and requirements.
- Maintain organized electronic and physical filing systems.
- Retrieve information and records as requested by authorized personnel.
- Assist with tracking and monitoring documents, requests, and administrative activities.
- Coordinate routine communications and follow up on outstanding documentation or requests.
- Prepare reports, lists, spreadsheets, and other administrative materials.
- Assist with scheduling, correspondence, copying, scanning, and document distribution.
- Handle confidential and sensitive information with appropriate discretion.
- Ensure records are maintained accurately and in accordance with applicable procedures.
- Identify discrepancies or missing information and obtain clarification or corrections when necessary.
- Provide administrative support to staff and assist with special projects as assigned.
- Perform other related clerical and administrative duties as required.
Required Qualifications
- Prior experience in a clerical, secretarial, administrative, or records-management role.
- Strong attention to detail and commitment to accuracy.
- Ability to organize, maintain, and retrieve records efficiently.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office applications, including Word and Excel.
- Ability to perform data entry and maintain accurate electronic records.
- Ability to manage multiple tasks and priorities in a structured environment.
- Strong organizational and time-management skills.
- Ability to work independently and as part of a team.
- Ability to maintain confidentiality when handling sensitive information.
- Reliable attendance and ability to work an on-site schedule.
Preferred Qualifications
- Experience maintaining legal, correctional, governmental, or other official records.
- Previous experience working in a legal, criminal justice, corrections, parole, probation, or government environment.
- Experience with classification, case, inmate, personnel, or other regulated records.
- Experience processing confidential or sensitive documentation.
- Familiarity with records-management systems and electronic databases.
- Experience performing high-volume data entry or document processing.
- Previous experience in a clerical or administrative position supporting a government or public-sector organization.
