Top-Producing Luxury Real Estate Team Seeking Administrative Assistant

We are seeking a highly organized, detail-oriented, and proactive Real Estate Administrative Assistant to work closely with team leadership and other members of our real estate group. This position will play an important role in supporting day-to-day operations, coordinating transactions, assisting with client communication, and helping ensure a high level of service throughout the buying and selling process.
The ideal candidate is comfortable working in a fast-paced, professional environment and interacting with high-net-worth clients. Strong communication skills, attention to detail, follow-through, and the ability to manage multiple priorities are essential.
Responsibilities may include transaction coordination, scheduling, database and CRM management, preparing documents and marketing materials, assisting with listings, coordinating client follow-up, communicating with vendors and other real estate professionals, and supporting leadership with ongoing administrative and operational needs.

Compensation: $50,000–$75,000 annually, depending on qualifications and experience, and/or performance-based bonuses tied to team production.

- Availability on weekends as needed
- MUST LIVE WITHIN 30 MINUTES OF SINGER ISLAND AND HAVE RELIABLE TRANSPORTATION
- Responsibilities
- Assist with all office duties and respond to client inquiries
- Manage Team Leader schedules, appointments, and daily priorities
- Coordinate and manage showings for team listings
- Assist with managing real estate transactions from offer through closing, ensuring documentation, deadlines, and communication are handled accurately and on time
- Coordinate appointments, showings, open houses, inspections, closings, and client meetings
- Maintain and update customer relationship management (CRM) systems and client databases
- Track client communications, leads, transaction progress, and follow-up activities
- Support agents with marketing efforts, including preparing promotional materials, listing information, email campaigns, and online property marketing
- Assist with preparing and organizing offers, counteroffers, addenda, and other real estate documentation
- Communicate with buyers, sellers, agents, attorneys, lenders, title companies, vendors, and other parties involved in transactions
- Research comparable properties, market activity, and local real estate trends when needed
- Provide exceptional customer service by building rapport with clients, responding promptly to inquiries, and maintaining clear communication throughout the buying and selling process
- Help ensure that every client interaction reflects the professionalism and service standards of a top-producing luxury real estate team

Requirements
- Proven experience in real estate administration or related fields with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with sales technology adoption tools.
- Excellent communication skills; bilingual or multilingual abilities are a plus for serving diverse clients.
- Knowledge of fair housing regulations and practicing real estate standards to ensure compliance.
- Experience with managing real estate teams or supporting residential real estate transactions is highly desirable.
- Strong understanding of the current real estate market analysis techniques and industry trends.
