Some of the responsibilities of the Office Administrator include, but are not limited to:
- Scheduling client therapy sessions.
- Greeting and checking client in and out.
- Sending out appointment reminders
- Answering incoming calls.
- Corresponding by phone, text, fax and email with clients and physicians' offices.
- Scan/uploading client documentation and medical information.
- Maintain confidentiality as it pertains to HIPAA guidelines.
- Maintain client accounts by obtaining, recording, and updating personal and financial information.
- Collect client payments, co-pays, deductibles, and past balances.
- Maintain office supplies and inventories
- Providing administrative support to clinician, program teams and other administrative staff.
- Educating potential clients about agency services.
- Ensuring the office remains well-kept and presentable to clients and their families throughout the day.
- Assist with marketing campaigns, creative content, community outreach.
- Other duties and tasks as assigned.
Experience and Qualifications:
- Two-year degree or more is preferred but not required
- 2-years administrative assistant, receptionist, or relevant customer service experience preferred.
- Experience in a healthcare setting and with an electronic records management system preferred.
- Proficiency using Microsoft Office programs, Google Suite, text and email.
- Must be able to stoop, bend, and lift up to 30 pounds (occasional supply deliveries)
- Pass a Department of Health and Welfare background check
- Life Counseling Center is a Drug-Free Workplace, with random drug testing.
