Duties:
Accounting & Financial Management:
- Review, code, and process vendor invoices, subcontractor pay applications, check requests, employee expense reports, and purchase orders in accordance with company policies and project requirements.
- Manage the accounts payable process, ensuring timely and accurate payments to vendors, subcontractors, suppliers, and consultants.
- Prepare and process owner billings, pay applications, progress draws, and supporting documentation in accordance with contract requirements.
- Monitor accounts receivable, collect outstanding payments, and assist with project cash flow management.
- Perform job cost accounting functions, including cost coding, cost tracking, budget monitoring, and variance analysis.
- Create, maintain, and review project budgets, cost reports, work-in-progress schedules, and commitment logs.
- Work closely with Project Managers to monitor contract commitments, change requests, change orders, projected costs, budget revisions, and project profitability.
- Assist in forecasting project costs, revenues, and cash flow to support management decision-making.
- Review owner contracts, subcontract agreements, and purchase orders to ensure proper accounting, billing, and compliance requirements are established.
- Prepare, track, and reconcile project change orders and ensure approved changes are reflected in project financial records.
- Generate and maintain monthly lien waivers, waiver requests, sworn statements, and related compliance documentation.
- Verify vendor, subcontractor, supplier, and lower-tier lien waivers for completeness, accuracy, and compliance with contract requirements.
- Monitor subcontractor compliance requirements, including certificates of insurance, licenses, certified payrolls, and other contractual documentation.
- Reconcile monthly accounts payable entries against sworn statements, project commitments, and budget reports.
- Perform monthly bank, credit card, and general ledger reconciliations, investigating and resolving discrepancies as needed.
- Prepare and distribute monthly project financial reports, cost analyses, and management reports.
- Support internal and external audits by preparing schedules, documentation, and supporting records.
- Maintain accurate project records and accounting files in compliance with company policies and accounting standards.
- Respond to vendor, subcontractor, client, and project team inquiries regarding payment status, invoices, contract balances, and accounting matters.
- Identify opportunities to improve accounting processes, controls, and reporting efficiencies.
- Collaborate with Accounting, Operations, and Project Management teams to ensure projects remain financially accurate, compliant, and profitable.
- Perform project month-end close procedures, including cost accruals, revenue recognition, budget updates, and financial analysis.
Requirements
- Associate's degree in Accounting, Finance, or related field preferred.
- 3+ years of experience in cost accounting (preferably in the construction industry).
- Strong knowledge of job cost accounting and experience with construction financial reporting.
- Excellent time management, organizational skills, and attention to detail.
- Ability to work independently and prioritize multiple tasks.
- Proficiency in Procore, Microsoft Word, Excel, and Outlook.
- ComputerEase knowledge is a plus.
