Duties
- Manage daily office operations, including front desk responsibilities, multi-line phone systems, and greeting visitors with professional phone etiquette.
- Oversee calendar management and schedule coordination for meetings, appointments, and company events to optimize team productivity.
- Coordinate event planning activities such as staff training sessions, company meetings, and community outreach events, ensuring all logistics are handled seamlessly.
- Supervise administrative staff and support team management initiatives, fostering a positive work environment through effective communication and leadership.
- Handle vendor management by negotiating contracts, processing invoices using QuickBooks or similar accounting software, and maintaining vendor relationships for supplies and services.
- Assist with human resources functions including onboarding new employees, maintaining personnel records, and supporting payroll processes.
- Maintain accurate bookkeeping records, perform basic budgeting tasks, and ensure timely filing of documents to uphold organizational compliance.
- Support medical office management or other specialized administrative functions if applicable, ensuring smooth operations within specific departments.
- Conduct regular office audits, manage filing systems—both digital and physical—and ensure all administrative procedures are followed efficiently.
Skills
- Proven experience in office administration or related roles with strong clerical and organizational skills.
- Demonstrated supervisory experience with the ability to lead teams effectively.
- Proficiency in QuickBooks or similar accounting software for bookkeeping and payroll processing.
- Excellent communication skills with a professional demeanor; adept at phone etiquette and client interactions.
- Strong event planning capabilities with attention to detail in coordinating logistics for meetings and company functions.
- Skilled in schedule management, calendar organization, and multi-tasking in fast-paced environments.
- Experience managing vendor relationships, negotiating contracts, and overseeing office supplies procurement.
- Knowledge of human resources practices including onboarding, employee records management, and training & development initiatives.
- Familiarity with medical office management or specialized administrative functions is a plus.
