Position Overview
The Office Manager is a crucial member of our small business team, responsible for ensuring the smooth and efficient operation of our office. This role involves a mix of administrative, organizational, and support tasks, requiring a proactive attitude and the ability to handle multiple responsibilities in a dynamic environment.
Key Responsibilities
· Administrative Support: Manage incoming and outgoing correspondence (emails, mail, phone calls), schedule appointments, and maintain office calendars.
· Office Organization: Oversee office supplies inventory, place orders as needed, and ensure the workspace remains tidy and functional.
· Record Keeping: Maintain accurate records, including invoices, receipts, and employee documentation. Bookkeeping and expense tracking.
· Team Coordination: Support staff with administrative tasks, organize meetings, prepare agendas, and take meeting minutes.
· Customer Service: Greet visitors, answer general inquiries, and represent the business in a professional manner.
· Technology Management: Coordinate basic IT support, liaise with external vendors for repairs or upgrades, and assist with troubleshooting common office equipment issues.
· Compliance: Ensure adherence to company policies and local business regulations, including health and safety standards.
· Project Assistance: Help with special projects or events, manage deadlines, and coordinate resources.
· Assist the CEO with personal tasks, such as appointments, pickups and deliveries, and correspondence.
· Processing employee timecards in accordance with company policy and state/federal laws.
· Vendor and Customer outreach/sales.
· eCommerce updates/maintenance.
· Maintains filing systems manually and/or electronically daily and maintains confidentiality.
Qualifications
· High school diploma required; associate’s or bachelor’s degree in business administration or related field preferred.
· Previous experience in office administration or management, preferably in a small business environment.
· Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and basic office technology, Business Central, Shopify eCommerce.
· Strong understanding of AI, tech programs, social media posts.
· Strong written and verbal communication skills.
· Excellent organizational abilities and attention to detail.
· Ability to work independently and as part of a team.
· Positive attitude and problem-solving skills.
· Proactive self-starter
· Math and Accounting skills
· Must be able to pass a background check
Working Conditions
This position is typically full-time 35-40 hours, Monday-Friday, and based in a small office environment. Some flexibility in working hours may be offered, depending on business needs. Occasional lifting of office supplies or equipment may be necessary.
Compensation
Salary is commensurate with experience between $25-$30 per hour. Benefits may include paid time off, health insurance, and professional development opportunities, subject to company policy.
