Overview
We are seeking a professional, dependable, and customer-focused Administrative Assistant to support the daily operations of our legal office. This position involves significant telephone interaction with clients. The successful candidate must remain calm, professional, and solution-oriented while providing excellent customer service. Responsibilities also include processing client payments through an online portal, managing office communications, and providing administrative support. The ideal candidate will possess strong computer skills, attention to detail, and the ability to troubleshoot basic technical issues independently.
Responsibilities
- Process client payments accurately through an online payment portal
- Respond to high volumes of incoming client calls and assist clients in a professional and courteous manner
- Maintain and facilitate a positive client experience
- Assist clients with payment-related questions and account inquiries
- Troubleshoot basic computer and system issues and escalate complex technical matters as necessary
- Draft professional correspondence and other formal documents
- Plan and schedule appointments
- Greet and assist onsite clients
- Maintain and implement filing systems
- Manage faxes and email communications
- Perform other administrative duties as assigned
Essential Knowledge, Skills & Abilities
- Strong customer service skills with the ability to professionally handle difficult or emotionally charged conversations
- Demonstrated conflict resolution abilities
- Excellent telephone etiquette and communication skills
- Proficiency in Microsoft Office and general computer applications
- Ability to learn and navigate online payment processing systems, including the Attorney General portal
- Ability to troubleshoot routine computer, software, and internet-related issues
- Strong attention to detail and accuracy when processing payments and maintaining records
- Excellent organizational and time management skills
- Ability to maintain confidentiality and exercise sound judgment
- Ability to work independently and as part of a team
- Professional demeanor, reliability, and dependability
Qualifications
- Minimum high school diploma or GED
- Previous experience in office administration, customer service, call center operations, or related fields preferred
- Maintain a professional appearance consistent with office standards
- Must successfully pass any required pre-employment screening, including background checks and drug testing, if applicable.
Location
- Downtown Cleveland, near Public Square and the Sherwin Williams building
Hours
- Standard office hours are 9:00 a.m. to 5:00 p.m., Monday through Friday
- Opportunities for schedule flexibility based on business needs
- This position is anticipated to last 12-18 months and offers an excellent opportunity to gain valuable administrative experience in a professional legal office.
Compensation
- Compensation and classification (hourly or salaried, as applicable) will be determined based on qualifications, experience, and position requirements.
