- Greet visitors and clients warmly, providing exceptional customer service and directing them appropriately
- Manage multi-line phone systems, screen calls, take messages, and transfer calls efficiently using professional phone etiquette
- Handle front desk duties including scheduling appointments, maintaining calendars, and managing visitor sign-in procedures
- Perform data entry, filing, and document proofreading to ensure accuracy and organization of all records
- Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for daily administrative tasks
- Support bookkeeping activities including invoicing, expense tracking, and basic financial record keeping
- Assist with office organization by managing supplies inventory, maintaining filing systems, and supporting general clerical duties
Qualifications
- Proven office experience with strong clerical skills and familiarity with office management procedures
- Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools
- Experience with multi-line phone systems and phone etiquette to handle high-volume calls professionally
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong organizational skills with the ability to prioritize tasks and manage time efficiently in a fast-paced environment
- Attention to detail in proofreading documents and maintaining accurate records
- Previous experience as a dental or medical receptionist or personal assistant is a plus but not required
- Knowledge of bookkeeping software such as QuickBooks is advantageous
- Demonstrated customer service skills with a friendly demeanor and excellent communication abilities
