About the Firm
We are a full-service tax and accounting firm operating at serious volume. Every year we process 2,500+ tax returns, manage payroll for 250+ active payroll clients, handle full-service bookkeeping for businesses of all sizes, assist with new business formations, and serve as the complete back-end financial operation for clients who range from individual filers and military families to contractors, farmers, small business owners, and multi-entity enterprises. About This Role
This is the front line of the firm. You are the first voice clients hear, the person who makes sure nothing falls through the cracks, and the glue that holds a busy office together. In tax season, the phones don't stop. Outside of it, you're coordinating, organizing, and keeping the client experience tight across every service line. You'll need to know enough about tax, payroll, and bookkeeping to field questions intelligently — not to do the work, but to direct it and communicate about it clearly. What You'll Do
- Be the first point of contact for clients — by phone, in person, and via email — and make that count
- Manage client intake, scheduling, and appointment coordination for the accounting team
- Collect, organize, and track client documents and tax materials (this is not optional — missing documents = problems)
- Ensure smooth front-office operations and client experience standards — supporting all client requests across every area of the firm, including tax, payroll, bookkeeping, entity work, and specialty tax
- Maintain office security, organization, and workflow standards
- Keep the office running smoothly with reliable administrative and clerical support
- Support the bookkeeping team by maintaining organized client records, scanning and filing documents, and keeping workflow systems current and accurate
- Opportunity to grow into tax work — you learn by doing it, and we reimburse for CPE and on-the-job training
- Handle confidential documents and information with care
- Any duty assigned by your supervisor is part of this role — there may be times you're asked to step outside your usual scope, and when that happens, it's expected that you'll show up and work as directed
What We're Looking For
- Prior experience in a customer-facing role — you're comfortable with people, busy phones, and a full front desk
- Professional phone etiquette and strong written and verbal communication — both matter here
- Strong computer skills and proficiency in Microsoft Office Suite — required
- Experience with QuickBooks Online — preferred but not required
- Familiarity with Drake Tax — a plus
- Organized, detail-oriented, and able to manage multiple tasks without things falling through the cracks
- Absolute discretion with confidential client information — in this business, there's no other option
Physical Requirements
- Primarily sedentary role requiring extended periods sitting at a desk and working at a computer
- Regularly required to use hands for typing, filing, and general computer operation
- Occasionally required to stand, walk, bend, stoop, or reach
- Must be able to lift and/or carry up to 50 lbs occasionally (e.g., a case of copy paper)
- Ability to perform repetitive tasks including typing and document handling
