Position Summary
This position is for an advanced level administrator distinguished from other administrator positions by the level of responsibility assumed as well as the size and complexity of the position. The Executive Administrator’s initial efforts will be centered around growing and training additional human resources to preform necessary administrative duties during company’s operational expansion and scaling. As the role evolves the Executive Administrator will work to facilitate efficient communication, oversight of administrative duties, and provide ongoing support and development to enable continual improvement of employees and processes. This position supports the Project Manager and Operation Managers in their roles by overseeing day-to-day items and will assume management responsibility for assigned services across multiple remote locations as well as the primary office location.
Principal Duties of Executive Administrator:
- Manage and participate in the development and implementation of goals, objectives, policies, and priorities for assigned programs by recommending and administering policies and procedures.
- Monitor efficiency and effectiveness of delivery methods for administrational procedures in order to recommend appropriate service and staffing levels to attain established goals.
- Plan, direct, coordinate, and review the work plan for assigned staff as well as assign work activities, projects, and programs. Review and evaluate work products, methods, and procedures to include meeting with staff to identify and resolve problems.
- Perform a variety of personnel administration functions including review of employee evaluations, ensuring accuracy and completeness of administrative tasks, as well as regular review of public facing documents.
- Ensure compliance with existing personnel laws and regulations. Help implement new policies as they become effective.
- Assist in overseeing the maintenance and troubleshooting of operational information systems functions and develop implementation of training programs as needed.
- Select, train, motivate, and evaluate assigned personnel. Provide or coordinate staff training and work with employees to correct deficiencies.
- Participate in the forecast of funds needed for staffing, equipment, materials, and supplies, including monitoring and approval of office expenditures.
- Serve as the liaison for the accounting functions.
- Provide recommended modifications to existing administrative policies and procedures as appropriate.
Additional duties include:
- Attending office meetings. Organize and distribute relevant information to business stakeholders across the company.
- Provide stakeholders with information necessary to perform their duties.
- Use problem solving skills to assist and delegate support for the daily operation.

o Prioritizing business strategies
o Scheduling and organizing meetings
o Facilitating business communication and teamwork
o Keeping meeting agendas focused and tight
o Tracking performance indicators
o Providing tactical support on initiatives
o Providing the project manager or stakeholders with insight and analysis on the company’s operations.
o Providing recommendations on improvements with the organization
Applicant Requirements:
5 years senior administrative level or similar experience
Pay: From $75,000.00 per year
