Primary Responsibilities
We are looking for a Deputy Clerk for Criminal Misdemeanor Court and Juvenile Court to join our team. If you can learn new software quickly, possess a great sense of humor, and have a desire to enjoy your 7:45 a.m.-4:45 p.m., Monday through Friday workday, this is the job for you.
The Deputy Clerk reports to the Leon County Clerk and is responsible for all filing, issuances, capias and warrants, attending court hearings, reporting for Court; collecting fees and fines for County Misdemeanor Criminal Courts; generating state mandated reports, working closely with court coordinator for dockets, and serves as back up for Probate and Civil Deputy Clerk. In short, we need a person that can quickly learn new software and tasks.
- Creates prefile cases, coordinates bonds, and converts prefiles to new cases upon direction of the County Attorney.
- Files new criminal cases and appeals from lower courts using the statewide eFile system.
- Collects bail bonds from the Sheriff’s Office and enters in court management system.
- Attends all criminal court hearings, filing documents submitted to the court and through eFile.
- Fingerprints defendants onto judgments to verify defendant acknowledgement.
- Processes all criminal payments and issues receipts.
- Enrolls defendants into payment plans to pay fines and court costs.
- Enters delinquent defendants into collections using the MVBA portal.
- Enters defendants who are delinquent with payments to OMNI (unable to renew DL) through the Omnibase WebFTA. Releases hold on DL when dependent has paid in full delinquent payments.
- Issues capias and warrants with order from Judge and coordinates with Sheriff’s Office for processing.
- Electronically submits the Court segment to CJIS within the 5-day time frame to ensure Leon County’s eligibility for state grants.
- Protects Leon County’s grant eligibility for state grants by working with court coordinator to flag CJIS dispositions over 37 days old, coordinating efforts with the County Attorney’s office.
- Reports Notice of Convictions (DL-117) to DPS.
- Conveys court-mandated interlock requirements and driver license suspensions to DPS on DWI convictions.
- Upon calling a jury trial, responsible for jury summons, jury lists, working with bailiffs to seat and/or shuffle the jury, and issuing attendance slips upon request.
- Reports Class C traffic convictions electronically to DPS.
- Files Notice of Appeals, Clerk’s Record with the Court of Appeals using the statewide OCA Records Submission Portal.
- Fulfills disposition requests from FBI NICS (firearm transfers) within 3-day timeline.
- Issues criminal background checks for misdemeanor offenses in Leon County upon request.
- Provides case documents to defendants or attorneys upon request.
- Reports Competency Assessments and Evaluations in case management system.
- Serve as back up for Counter if Counter staff is busy/unavailable including recordings, issue marriage licenses, birth certificates, death certificates, and DD-214 in accordance with the Texas Family Code, file and post agendas or notices. Any problems or discrepancies must be resolved with the Clerk prior to leaving for the day.
- Serves as back up for Probate/Civil deputy.
- Serves as a co-sign for Records Management fund.
- Communicate issues or concerns so that all team members are up to date on any possible situations.
General Duties (of all employees)
- Possess proactive customer service skills ensuring a positive image of the office.
- Answer phones in a professional manner, return calls ASAP.
- Copy (and certify when appropriate) official county records for the public
- Attend the counter and assist the public with their need for information; if primary counter staff is unavailable or busy, assist as needed.
- Receive money, issue receipts, balance drawer at end of day.
- Successfully pass a criminal background check and must submit fingerprints to JBCC database for access to state vital records.
- Set up physical and computer files
- Make daily entries into computer files and maintain physical files
- Perform open records searches
- Operate copier, scanner, fax machine, Microsoft Office suite, postage machine
- Ability to learn court management software (Enterprise Justice) and document management software (Neumo)
- Prepare and type correspondence as required in appropriate situations
- Perform other duties as assigned by Clerk.
Education, Experience and Training
- A high school diploma or equivalent
- One ( 1 ) year of experience working in an office or working with the general public preferred
- Experience in working effectively with others in job assignments or other situations
- Bi-Lingual skills in both English and Spanish preferred but not required

- Ability to keep financial records, interpret fee schedules, and distribute funds into appropriate accounts
- General knowledge of nature and content of variety of documents processed in the county court system; General knowledge of organization and operations of the county court system
- Ability to follow instructions and complete assignments; Ability to work together as a team to accomplish tasks
- Ability to interpret and apply laws, rules and procedures applicable to the work assignment
- Ability to maintain a courteous, responsive relationship with the general public
